The Group Housing and Billing Coordinator position ensures a successful event by being the housing and billing contact from pre-arrival through departure; providing excellent service and hospitality following the brand guidelines. Responsible for submitting and monitoring direct bill requests to the Director of Finance in accordance with our Direct Billing guidelines.

 

Essential Job Functions:

  • Prepare, review, and issue bills, invoices, and account statements according to company procedures. Process all reservation requests, changes, and cancellations received by phone, fax, or mail.
  • Book reservations in Marsha and Passkey.
  • Process group cancellations.
  • Process no shows, get with event manager in regards to reinstatement and charge where appropriate.
  • Process Advance Deposits for Group Reservations and follow up with credit card declines.  
  • Review Credit Limit Report and Credit Card Decline Report
  • Process Bucket Check daily
  • Accommodate and document special requests.
  • Set-up proper billing accounts (i.e. share-with, room/tax/incidentals, tax exempt, direct/special billing, and group bookings) according to accounting policies.
  • Work closely with various departments and outside entities to achieve successful groups from pre-arrival through final bill.
  • Ensure compliance with standard and local operating procedures (SOP's and LSOP's).
  • Attend group pre-convention and post-convention meetings.
  • Respond to all guest calls in a timely manner.
  • Submit direct bill requests and monitor approvals through Director of Finance.
  • Maintain H status & O status accounts for period end.
  • Attend SCRUB meetings every Tuesday at 3:45pm
  • Follow up with event manager in regards to reinstating no shows and charge appropriately
  • Ensure uniform and personal appearances are clean and professional
  • Maintain confidentiality of proprietary information and protect company assets.
  • Welcome and acknowledge all guests according to company standards, anticipate and address guests' service needs, assist individuals with disabilities, and thank guests with genuine appreciation.
  • Speak with others using clear and professional language; answer telephones using appropriate etiquette.
  • Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of employees.
  • Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.

 

Qualifications:

  • English fluency - required
  • High School degree or equivalent - required
  • Must be 21 years of age or older - required
  • 2 years of Reservations/Accounting experience - preferred
  • Able to work as part of a team - required
  • Able to work weekends and holidays, as needed - required
  • Proficient in Microsoft Word/Excel/Outlook/Powerpoint/POS/Peoplesoft – preferred
  • Understanding of Uniform System of Accounts for the Lodging Industry 11th Edition - preferred
