Headway Workforce Solutions is currently seeking a Process Assistant IV for a 2 ½ year contract opportunity in Richmond, VA with our partner, one of the nation's largest producers and transporters of energy.

Job Description

  • Collaborate with internal partners and/or third-party vendors to process incoming requests and track responses; update mailing lists as needed
  • Work closely with project team to fact check materials
  • Coordinate multidisciplinary reviews and approvals
  • Participate in project/communication meetings
  • Assist with the implementation of Communication Plans
  • Monitor email inbox across projects, delegate to appropriate team members for responses
  • Drafting RFPs and working with Supply Chain on the process for bidding and retaining consultants to help support the outreach work on our projects
  • Setting up purchase orders
  • Adding funds to existing and renewed purchase orders
  • Processing change orders
  • Processing invoices for the info materials, posters, printing, giveaway items, mailers, etc.
  • Answering our 800# calls on all the projects, delegating to proper owners
  • Sorting all incoming mail and making changes/updates to mailing lists
  • Setting up bulk mailings – mail merge, printing and stuffing envelopes
  • Coordinate all of the logistics for open houses and other community meetings (booking venues, catering, materials, coordination)
  • Keeping track of inventory of fact books, safety brochures, info for mailings, etc

Skills

  • High school diploma or equivalent required
  • 3 - 5 years related experience
  • Excellent skills using spreadsheet, word processing, graphics and database applications
  • Experience working with SAP is preferred
  • Ability to effectively communicate with others
  • Ability to work independently, manage schedule and prioritize work
  • Ability to be flexible and handle changing and emerging priorities
  • Building rapport with internal and external stakeholders and ability to influence outcomes
  • Performs a variety of customer relations/customer service duties to ensure prompt processing of customer requests
  • Attention to detail, ability to analyze data, identify and address trends
  • Understanding of some technical/engineering aspects is desirable but not required
  • Proficiency with basic Microsoft applications (Word, Excel, Access, PowerPoint), including Mail Merge
  • Excellent writing, communication, and interpersonal skills
  • Experienced with handling difficult Customer Service situations
  • Diplomacy, tactfulness, and negotiation skills
  • Excellent work prioritization and time management skills

Additional Information

  • 2 1/2+ year contract
  • Hours are Monday through Friday 8:30am to 5:00pm
