Reports to:A A A Director, Meetings & Events Job Purpose: To manage end to end logistics for pharmaceutical meetings, to include but not limited to advisory boards, speaker training, symposiums, product theaters, and VIP executive encounters. The Senior Meetings Manager must be client-service oriented, possess strong communication skills, and have the ability to take initiative. Primary Duties and Responsibilities:Manage the planning and execution of approximately 15-20 events annuallyincluding:Manage logistical arrangements for meetings, including the following elements:Venue qualification, contracting and planning utilizing approvedtemplatesInvitation and attendee management process, including portaldevelopmentAttendee travel, transportation and housingarrangementsAV and staging setupDistribution and collection of on-sitematerialsMenuselectionOn-site meetings managementDeliver first class customer service in line with client and companyobjectivesManage client approved budgets for all programs; control expenses and compliance to ensure proper post programclose-outEnsure delivery of all events in accordance with regulatory and client-defined compliance guidelines both pre- andpost-eventProvide event status reports regularly to the internal account and operations teams and participate in weekly account statusmeetingsProactively signal challenges and concerns, with proposed solutions, to supervisor and account team as directed A Qualifications:Minimum of 5-6 years of pharmaceutical meeting management experience required, preferably within Advisory Boards, Speaker Training Meetings, Satellite Broadcasts, Webcasts, and National CongressesBachelor's Degree required, preferably in hospitalityCMP or equivalent a plusAbility to manage multiple projects simultaneously while upholding qualitystandardsExceptional attention todetailArticulate; possessing excellent oral and written communications and strong interpersonalskillsTeam oriented and capable of managing projects in a fast-pacedenvironmentStrong computer skills; proficient in Word, Excel, Outlook, PowerPoint, Internet, and database managementAbility to manage stress in a professional manner and work well underpressureAbility to work overtime during key events, whennecessaryWorking Environment: Normal office environment. 40% travel required.
