Conference Services Manager

Be an ambassador for our exceptional offerings as Conference Services Manager, where you will liaise between multiple departments to meet the needs -- and exceed the expectations -- of your clients.

Hotel Overview: The Fairmont Dallas, located in the Arts District of downtown Dallas, offers 545 elegant guestrooms and suites, with over 73,000 square feet of banqueting and meeting space. For over forty years, the Fairmont Dallas has been the setting for countless civic, social, cultural, convention and corporate events, but more importantly the setting for thousands of memories.

Summary of Responsibilities:

Reporting to the Director of Catering & Conference Services, responsibilities and essential job functions include but are not limited to the following:

* Consistently offer professional, friendly and engaging service

* Ability to handle multiple projects concurrently while maintaining continuous client contact.

* Create menus, mindful of food costs, labor cost and kitchen capabilities. Obtain approval from the Director, CS&C when any special menus are sold

* Responsible for sufficiently washing room block, covers and average check for an accurate forecast

* Conduct and/or attend daily meeting to review event contracts to ensure last minute changes are communicated with Banquets, Kitchen and Stewarding

* Attend internal meetings as required

* Confirm event related information with client and disseminate information to all departments through e-mails, event orders, resumes and rooming list in a professional and timely manner

* Establish and maintain rapport with clients, prior to, during and post conference, encouraging repeat business

* Organize convention bookings from date of booking to departure, including meeting requirements, guest room requirements, guest room pickup, food & beverage and audio visual

* Create floor plans for each event to ensure banquets and clients are in agreement prior to set up

* Initiate billing procedures, ensuring any deposits and/or credit applications are received with adequate information and within an acceptable time frame

* Conduct pre-conference meetings with clients and pertinent departments to confirm all relevant details are communicated

* Conduct and/or attend daily meeting to review event contracts and ensure last minute changes are communicated with appropriate departments

* Follow departmental policies and procedures

* Follow all safety policies

* Other duties as assigned

Qualifications:

* Experience in large upscale hotel conference planning

* Previous leadership experience within a similar role required

* Proven ability to plan and execute events effectively with a strong attention to detail

* Working knowledge of Opera Sales & Catering & Meeting Matrix

* Knowledge of forecasting and budgeting process

* Computer literate in Microsoft Window applications required

* University/College degree in a related discipline preferred

* Excellent communication skills, both written and verbal required

* Strong interpersonal and problem solving abilities

* Highly responsible & reliable

* Ability to focus attention on guest needs, remaining calm and courteous at all times
