Aerotek is searching to hire a Project Coordinator for a leader in the Electronic Security Systems industry.

Job Description:

Bid Submittals/Proposals

  • Complete tasks associated with bid submittals, including piece counts, parts research, research code/permit requirements, for Burglar Alarm Systems/Fire Alarm Systems/Video Systems/EAS Systems.

Project Preparation

  • Assist the Project Manager in compiling and documenting the scope of work to be completed by a Technical Service Partner (TSP/sub-contractor) for each project, in order to provide clear and coordinated interpretations of the repeating prototype system installation. To be completed during the introductory period of each customer project/system type.
  • Once installation projects have a functional prototype compiled, produce an installation packet; including, but not limited to the following: installation guidelines, wiring diagrams, site drawings, labor contract, sign off sheets, user training guides. Frequency of compiling installation packets will be directly correlated to the project installations. When time is permitting, compile installation packets en masse to have on hand for future needs.
  • Send installation packets to the TSP as dictated by the Project Manager.
  • Follow up with the TSP on any installation contracts not returned within 1 week of being sent to the TSP, and a minimum of 2 weeks prior to installation start date.

Project Progress

  • Review the project tasks as they relate to the key project milestones, and prioritize and execute by those which most impact the project timeline, scope, and budget. Seek input from Sr. Project Coordinators and/or Project Support Manager for any task conflicts. Must be evaluated on a day to day basis, or more frequently as dictated by the project trend.
  • All site progress must be recorded within the notes section of the WMS project. The frequency of notes will be as dictated by the Project Manager's requirements for project updates. All communications regarding each project, as well as any attempted communications, must be recorded in real time and no later than the end of the business day in which the communication took place. Each project note should be dated and initialed. Exceptions will be made for high-volume projects of 50 sites or more.
  • Provide project reports as dictated by the customer and/or Project Manager.

Qualifications:

  • Ability to effectively communicate technical instructions and procedures to subcontracted technicians.
  • Ability to quickly and accurately transcribe information from phone calls into database for tracking purposes.
  • Experience dealing with electronic security systems or fire alarm systems.
  • Experience handling service calls from Technicians would be a plus.
  • Prefer recent experience as a Project Coordinator or related position within similar industry.
