Scheduling is the hub of our business.  As a Scheduler/Staffing Coordinator, you are responsible for scheduling services for our clients with shifts from our CAREGivers.  As the #1 provider of non-medical in-home care for seniors in the world, our mission is to provide the highest quality of services that allow seniors to remain safely in their homes.  Our goal is to enrich the lives of the seniors that we assist while creating a fulfilling and rewarding role for our CAREGivers.

This is a full-time job, 40 hours/week, with every other weekend on-call.  Prior scheduling experience and experience with ClearCare scheduling software would be an asset, but not required.

Non-Exempt/Full Time
Monday - Friday
8:00am-5:00pm (work in office)
Every Other Weekend On-Call (work from home - company cell phone provided)
3 Holidays On-Call/Year (work from home - company cell phone provided)

 

Primary Responsibilities:                                                                            

* Answer incoming calls in a friendly, professional and knowledgeable manner.
* Build relationships with clients and CAREGivers over the phone.
* Meet and familiarize yourself with all new CAREGivers to enhance the matching process.
* Create and maintain client and CAREGiver schedules with an emphasis on creating high quality matches that build extraordinary relationships.
* Ensure every client's scheduled shift is filled.
* Monitor, mediate, and log all client and CAREGiver activity utilizing the software system.
* Enter and maintain accurate client and CAREGiver records in the software system.
* Follow up with all client and CAREGiver issues to ensure their problems are resolved.
* Increase client loyalty to Home Instead Senior Care by utilizing the consultative sales process to better meet our clients' needs.
* Follow up and communicate CAREGiver and client issues to ensure problems are resolved.
* Follow the responsive contingency plan that ensures 100% maintenance of service hours.
* Recognize and capture opportunities to increase service hours in scenarios to enhance and/or increase quality care.
* Maintain regular attendance at the office to execute job responsibilities.
* Must be available and willing to cover weeknight and weekend on-call responsibilities as scheduled.
* Provide caregiving to clients in an emergency or when a shift cannot be filled.
* Conduct client/CAREGiver introductions as needed.
* Demonstrate open and effective communication with the franchise owner, colleagues, CAREGivers, clients and family members.
* Adhere to all company policies, procedures and business ethics codes and ensure that they are communicated and implemented within the team.
* Participate in all CAREGiver meetings.
* Provide back-up assistance to on-call schedulers on nights and weekends.
* Perform any and all other functions and responsibilities deemed necessary.

* Must have the ability to organize and prioritize daily, quarterly, monthly and yearly work.
* Must have the ability to establish good working relationships with the franchise owner, office colleagues, clients and CAREGivers.
* Must have the ability to sit at a desk, operate on a computer, and work effectively for long periods of time on the telephone.
* Must present a professional appearance and demeanor.
* Must have the ability to operate office equipment.
* Must be patient and congenial on the telephone.
* Must have computer skills and be proficient in Microsoft Word and Excel.
* Must have the availability to work evenings and weekends as required.
* Must have the ability to perform duties in a professional office setting.
* Must demonstrate knowledge of the senior care industry.
* Must have an understanding of and uphold the policies and procedures established by Home Care for Seniors Massachusetts, Inc. d.b.a. an independently owned and operated Home Instead Senior Care franchise.
