The Executive Assistant role is one of two aligned to enhance our leadership team in pursuit of efficiency and operational excellence across a wide range of support, organizational, planning and communication responsibilities. Anchor responsibilities will include:

• CEO and CFO support. Organize and maintain calendar and travel planning.
• Leadership Team rhythm. Define, organize, communicate and facilitate execution of the leadership agenda, regular and ad-hoc meetings.
• Leadership Conference. Oversee planning for our annual leadership conference. In addition to logistics coordination, components include a presentation template, recognition program, a learning & development agenda and guest speaker.
• Communication. Effective conveyance of information to and between our teams to enrich culture, engagement and sense of belonging. This may include adoption of a new tool to supplement channels already in place.

This role will contribute to and/or lead a diverse array of projects and have a material impact on how well our home office team supports and communicates with our field operations teams. Projects will be facilitated in close collaboration with other members of the leadership and home office team.

Summary of Key Responsibilities:

Responsibilities and essential job functions include, but are not limited to, the following:
• Providing a high level of administrative support to the CEO
• Prepare correspondence, reports, and materials for publications and presentations to internal and external audiences while maintaining confidentiality
• Assemble and share weekly, monthly and quarterly meeting agendas and follow up to ensure efficient and effective use of meeting time
• Capture action items and leverage mechanisms to track progress / follow up
• Anticipate needs and initiate appropriate action, to meet deliverables in a timely manner
• Setup and coordinate meetings and conferences including event theme, objectives, agenda, attendees, logistics, catering, meeting materials, presentation content and event flow
• Proactively engage extended leadership team members to prompt progress on tasks assigned or requests made by CEO
• Support preparation of monthly and quarterly business reviews
• Coordinate communications to include research, information and presentation assembly on behalf of the CEO and leadership team
• Special projects as assigned (i.e. Events and Employee Engagement)
• Calendar management, phone communication, email correspondence and periodic travel is required across multiple time zones
• Coordinate communication between departments involved in special projects, encouraging accountability across roles


Requirements

Job Requirements
* Bachelor's Degree. BA in Business or Communications preferred.
* Five or more years of supporting executives and senior management
* High level of proficiency with a variety of computer software applications such as Outlook, Excel, PowerPoint, VISIO, Word
* Customer service and team oriented Application of project management skills to facilitate cross-functional team focus
* Organizationally competent with excellent attention to detail
* Strong written and verbal communication skills
* Capacity to prioritize and manage time across multiple tasks with limited supervision and sometimes under time pressure
* Ability to maintain high level of confidentiality
* Proactive and self-directed
* Dependable, flexible and professional demeanor
* Ability to work flexible hours and travel up to 25%
