Front Office Coordinator: $14.00/hr - $15.00/hr

 

Our client, a Psychological Practice in Carmel, needs a new Front Office Coordinator. The Front Office Coordinator is responsible for creating a positive first impression for all traffic (telephone or in-person) in the office. As the office hub and host/hostess, the Front Office Coordinator (FOC) needs to ensure that all administrative activities, incoming calls, and patient flow move smoothly. 

 

The FOC organizes all office activities to ensure all tasks are met to the satisfaction of the internal team and patients. During peak periods there are often too many activities to handle at once. The FOC needs to prioritize critical and urgent tasks in a logical and efficient manner in order to ensure daily activity moves in an organized manner, while keeping everyone calm.

What will I be doing?

 

  1. Handle all calls professionally and quickly. --Make sure every call is handled in a professional and courteous manner, quickly determining the caller''s needs. -- Schedule appointments and, as necessary, route calls to doctors. Big goal: attempt to obtain a great compliment on every call. 

 

  1. Process all office visitors professionally and courteously. Meet and greet. -Welcome everyone with a warmgreeting, treating everyone who enters as a guest.  Quickly identify their needs. --During their visit, follow up and ensure that patients are processed efficiently. -- Document patient information and related information in the office database in an accurate and timely fashion. 

 

  1. Manage the patient flow and prepare patients fortheir appointments. Have patients complete all paperwork as appropriate, and then coordinate the appointment or any next steps.  Accurately document all key information. -- After appointments are complete, schedule next appointments and complete all necessary documentation. -- Submit billing/insurance information4. Handle office administration on an as-needed basis. -- Type correspondence as needed. --Prepare mailings as needed. --File all paperwork, etc. --Order supplies-- Support doctors as needed. 

 

  1. Candidates must have a pleasant phone demeanor, excellent computer skills and a working familiarity with Microsoft Office. Prior experience with electronic medical systems and records a plus, but not required. They must learn quickly and be comfortable asking for assistance as they learn the practice''s processes and systems. At the same time, it is expected that once a task is mastered, minimal training will be required. Accuracy is critical.  A pleasant demeanor and can-do attitude will be given top consideration!
