Position Summary:

Order processing center Assistant General Manager will supervise daily operations and personnel aiming for efficiency, quality, and cost effectiveness. An excellent candidate must be well organized, reliable, and a results driven professional. They must have a practical mind to solve problems on the spot, partnered with strong business acumen work history with a "big picture" thought process that will propel the business forward.

Duties and Responsibilities:

Operational Execution

  • Planning and scheduling of center activities and supervising the front line process
  • Develop action plans to address deficiencies and improve performance
  • Work with General Manager effectively to execute the policies and goals of the organization
  • Drive initiatives that contribute to long-term operational excellence
  • Lead team to improve operational effectiveness by streamlining business work processes and procedures
  • Manage all process logistics
  • Maintain relationships with all stakeholders including retail, sales, Digital Print Sites, as well as all cross functioning business partners i.e. estimating team, sourcing team, customer care teams
  • Assist in the development of strategic plans for operational activity
  • Manage labor and material resources to meet production targets
  • Implement, enforce and monitor quality control programs to achieve quality objectives
  • Formulate and implement improvements to the production process to maximize output in support of organizational goals
  • Monitor adherence to policies, processes and procedures
  • Foster and facilitate effective communication between all support functions including Digital Print Sites, Estimating, Accounting, IT, HR, Customer Service or Corporate Facilities when needed.
  • Contingency planning for all center operations

People Leadership:

  • Supervise, coach and inspire team of associates
  • Monitor and review the performance of staff
  • Manage quality and quantity of employee productivity
  • Provide a working environment that encourages all associates to reach their full potential and one that embraces diversity and inclusion
  • Identify knowledge, behavioral and/or skill gaps in associates, responding with action to address developmental opportunities
  • Conflict resolution between employees or groups
  • Organize recruitment and placement of associates; responsible for onboarding
  • Ensure the safety and security of associates
  • Track compliance of all required training and schedule any needed training with associates

Cost/Asset Management

  • Review financial statements and data; utilize financial data to improve profitability and plan effective strategies for the financial well-being of the company
  • Work with General Manager to set plans to favorably impact controllable direct expense items on the P&L
  • Plan, evaluate and improve the efficiency of business processes and procedures to enhance speed, quality, efficiency and output
  • Make decisions about equipment utilization and maintenance
  • Manage cost to production budget; implement cost control measures
  • Inventory management and reporting
  • Reduce day to day operation costs
  • Deliver the product to customers in the most cost efficient, practical and economical manner
  • Manage activities associated with direct purchasing and the processing of accounts payable

Customer Focus

  • Troubleshoot any issues resulting from design or image quality to ensure customer satisfaction
  • Communicate proactively regarding production schedule changes and project status as needed
  • Provide customers with support in engineering new or existing projects
  • Plan and support sales and marketing initiatives
  • Achieve targets of on time, done right
  • Respond to issues of dissatisfaction through due diligence, problem solving and deductive reasoning
  • Achieve optimum balance between controlling costs and improving service
  • Consistently deliver to customer expectations by coaching and leading the team to optimum performance
  • Maintain facility to serve as a showcase for customer visits

Qualifications

Qualifications/Skills

  • Bachelor's degree preferred
  • Experience managing a customer service team, working in a print center environment, and or leading a customer facing team.
  • Proficient in Microsoft and Adobe Suites
  • Excellent communication skills (both verbal and written), planning, negotiating and organizational skills
  • Experience in organizational effectiveness, operations management and implementing best practices
  • Demonstrated leadership and vision in managing teams, major projects and initiatives
  • Excellent interpersonal skills and a collaborative management style
  • A demonstrated commitment to high professional ethical standards and a diverse workplace
  • Demonstrated ability to work through and manage change successfully
  • Excel at operating in an fast pace environment with a high degree of flexibility
  • Excellent people manager, open to direction with a collaborative work style and commitment to get the job done
  • Ability to identify and discuss key issues with details and facts, looking at situations from several points of view
  • Delegate responsibilities effectively
  • Digital Print knowledge necessary
