Job Description
The Maintenance Administrator is responsible for providing administrative and clerical support to the Maintenance Department. This position coordinates activities within the Facility Management Group, including management of the maintenance calendar, scheduling of appointments and meetings, producing reports, and dealing with escalated dispatch related issues. They interact daily with diverse teams at all levels both inside and outside the United Pacific organization.
ESSENTIAL JOB DUTIES
- Provide professional administrative support to the Maintenance Group.
- Complete weekly and monthly reports on a variety of projects.
- Respond to queries and run additional reports as needed.
- Assists with dispatch as needed.
- Must be able to establish and maintain effective and collaborative working relationships with diverse teams that include store employees, maintenance, management, contractors, vendors, suppliers, agencies, and corporate staff.
- Utilize a professional, tactful approach to the handling of any sensitive situations or complaints.
- Assist as needed with daily correspondences.
- Coordinate meetings, luncheons, travel plans, and engagements.
- Provide a superior customer service experience to all customers, both internal and external.
- Maintain and update department documentation, processes and procedures.
- Performs other duties or projects as assigned by management.
JOB QUALIFICATIONS
- 2+ years of prior administrative experience in a corporate environment.
- Proficient in Microsoft Office Suite with advanced Excel skills.
- Ability to write, speak, and interact clearly and professionally with diverse teams at multiple levels.
- Extremely organized with strong multi-tasking and time-management skills.
- Ability to handle sensitive information with the highest degree of integrity and confidentiality.
- Effective problem-solving ability.
- Strong demonstrated success in handling multiple projects at a time in a very fast-paced environment.
- Ability to perform well under pressure and strict deadlines.
- Ability to provide proof of authorization to work in the U.S if accepting an offer of employment.
