Purpose

The VP - Proposal Coordinator is part of the Business Development team with two direct reports. You will direct, project manage, write, and produce responses to client Request for Proposals (RFPs), qualification documents, presentations, and other business development marketing materials. You drive the proposal process from RFP analysis and planning to writing and execution of final proposal materials. You also collaborate with others in business development projects and tracks RFP and pitch win rates.

You will recommend strategic approaches and work directly with the legal, marketing, operations, facilities and IT teams to create a coordinated response.

Key Accountabilities
  • Leads and manages the proposal response process from inception through submission. This includes requesting/conducting initial research, review of opportunity and strategic analysis, coordinating proposal schedules and deadlines, developing project plans/timelines, and adhering to proposal guidelines and firm policies.
  • Creates, gathers, researches and organizes information from many sources to generate business development documents including proposals, qualifications and presentations. Must synthesize disparate data from multiple sources into coherent Business Development documents
  • Draft, reviews and edits proposal content for readability, consistency, clarity and compliance with requirements, minimizing style differences from multiple authors and contributors and executing a consistent high quality look and feel
  • Ensure materials are error free, visually appealing, and all aspects of the RFP are responsive to the client/prospective client and reflective of the firm’s differentiators while working on multiple proposals, balancing milestones and due dates.
  • Drives and coordinates proposal calendar to meet all deadlines outlined in the RFP. Communicate with and manage internal resources to ensure timeliness of deliverables.
  • Schedules and participates in meetings relating to proposals, business development and marketing
  • Conduct preliminary evaluation of RFP. Summarize and distribute the opportunity for further evaluation and set-up kick-off meeting.
  • Structure, develop, and edit proposal outlines for each RFP, answering each required element to develop a compliance matrix, and reviewing proposal for compliance
  • Seek clarification and submit questions throughout the RFP/procurement process.
  • Monitor all amendments and modifications to the RFP.
  • Research client and the opportunity to effectively tailor the RFP.
  • Support follow-up initiatives for RFP and proposal opportunities and prepare monthly proposal progress report. Track and report metrics.
  • Maintain and continually update standard materials
  • Create and maintain an opportunity databases, implementing best practices for entry and reporting.
  • Identify applicable technologies to improve process of proposal development responses and be flexible to manage demands outside of traditional business hours.
  • Conduct post-proposal debriefing analysis and manage boilerplate libraries for various lines of business. Work with subject matter experts throughout the company to ensure boilerplate is accurate and up to date


Specific Requirements
  • BA or BS degree in Communications, Journalism, Marketing, Business, or English
  • 5+ years of Business development experience (Municipal/State environments, the Federal Government and/or private industry)


Additional or Local Requirements to Standard Role

May be required to work evenings and weekends to meet proposal deadlines.
