Description

  • Provide administrative support to two managing directors and their teams within Cyber Security
  • Coordinate yearly off sites for the IS Programs & IS Strategy teams
  • Prepare all travel arrangements both (domestic and international), reconcile and track expense reports through Concur T&E system
  • Manage all aspects of executive level appointments, meetings, receptions and conference calls through Outlook
  • Prepare and review materials and correspondence for meetings
  • Order office supplies and maintain inventory
  • Answer all incoming calls, respond to inquiries, clarify company policies and procedures
  • Onboard new hire analysts/summer interns
  • Regularly handle sensitive materials; maintain appropriate levels of confidentiality
  • Communicate with high level internal management, clients, industry officials and senior management in other firms
  • Create and administer several HR requisitions for both teams through to the approval process using Taleo E-Recruitment
  • Lend back up support for other managers or administrative staff as needed
  • Assist with the creation/modification of presentations, spreadsheets and other documents
  • Bachelor's degree or Associate's degree preferred
  • 5 years experience in a similar role at a global financial services firm (preferably within Citigroup)
  • Demonstrates a high level of integrity and professionalism
  • Excellent oral and written communication skills; strong and polished interpersonal skills
  • Extremely detail oriented, with strong follow-up
  • Ability to deal effectively and diplomatically with all levels of internal and external management
  • Highly proficient in MS Office (Word, Excel, Outlook, and PowerPoint)
  • Ability to gain command of new systems as required for the job
  • Team player; ability to inspire trust and promote collaboration
  • Ability to execute under tight timeframes - multi-task, prioritize and work independently
  • Energetic, with a willingness to learn, take initiative and work in a fast-paced environment
  • Ability to handle confidential information and matters with discretion
  • Flexibility to work overtime, as needed
