Administrative Assistant needed!
Location: near Hauppauge, NY
Schedule: Monday - Friday, 8:30 a.m. - 5 p.m.
Responsibilities will include but are not limited to:
Associate’s degree required
At least two years of administrative or relevant experience
Strong Communication Proficiency in oral and written form.
Basic mathematical skills
Proficient in Microsoft Office, Microsoft Outlook; Knowledge of AS400 needed.

Responsibilities will include but are not limited to:
- Schedules and organizes complex activities for the executive team such as meetings, travel, conferences, and internal office events.
- Maintains Monthly Travel Planners for the Sales and Marketing team by reviewing for irregularities and/or compliance with department policies.
- Reviews Sales & Marketing monthly statement & expense reimbursements for compliance with company guidelines
- Proofreads promotional materials and dealer correspondence.
- Performs data entry; Enters monthly bonus rebates, monthly online advertisements and stats.
- Monitors office and building supplies (paper, toilet paper, paper towels, tissues, and paper goods, utensils, and cleaning products).
- Writes internal meeting transcripts
- Handles correspondence for the Executive Team. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information
- Answers phones for President, Sr. Vice president and VP or Marketing when out of office. Takes messages or fields/answers all routine and non-routine questions.
- Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, and senior vice presidents. Handles confidential and non-routine information and explains policies when necessary.
- Works independently and within a team on special nonrecurring and ongoing projects.
- Acts as project manager for special projects, at the request of the President, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
Associate’s degree required
At least two years of administrative or relevant experience
