OVERVIEW

Similarly, property operations managed by the firm adhere to the principle of in-house, vertically integrated "owner/management" common to multigenerational New York family portfolios.     General Office/Prop Management:
  • Composing, transmitting and filing of all correspondence for properties
  • Maintain tenant files through company's electronic share drive
  • Maintain tenant insurance certificates
  • Maintain vendor/contractor insurance certificates
  • Coordinate all tenant billable work and scheduling
  • Respond to tenant general and specific inquiries and complaints
  • Rent collections
  • Maintain relationship with contractors and suppliers
  • Maintain relationship with onsite building employees, including scheduling of vacation time, overtime, etc.
  • Order supplies/materials for superintendents
  • Cure all building violations-- Obtain necessary documents to provide to attorneys for court appearance in order to cure building violations
  • Prepare vendor contracts such as Letter forms of Agreement for work and service contracts
  • Complete all Department of Building forms required for building operations
  • Maintain Property information book
  • Update lobby electronic directories onsite
  • Administer the execution of AIA contracts, LOAs and service contracts


    Accounting:
  • Coding of all invoices received for processing to general ledger
  • Preparation of monthly and quarterly operating statements (variance reports)
  • Participate in annual budget and reforecast preparation
  • Review monthly tenant invoices against budget
  • Review and prepare quarterly utility invoices for accuracy
  • Prepare weekly and bi-weekly payroll for building employees
  • Assist in preparing monthly reports for Partners (outside Partners)
  • Prepare monthly sub-metering allocation for building
  • Have working knowledge of Yardi web based accounting platform
  • Utilize Jack Jaffa Associates for violation monitoring and attention, etc


    Leasing:
  • Assist in review of prepared lease abstracts
  • Update and maintain quarterly rent rolls, stacking plans & security deposit information
