Job Overview:
Responsible for the workload management of a team of Talent Coordinators who introduce job candidates and new colleagues to Macy’s as they apply, interview, and begin their employment; overseeing a variety of administrative functions. Perform other duties as assigned. This position will be located on the West Coast and is open to various locations.
Essential Functions:
• Oversee the workload management of a team of Talent Coordinators and ensure appropriate coverage for time off.
• Position Macy’s as a destination employer by identifying opportunities and implementing new strategies to innovate the hiring process to create the most efficient, candidate-friendly process for candidates, People Leaders and HR Business Partners.
• Maintain a close connection with internal and external candidates throughout the recruiting process, driving a positive candidate experience through a series of positive interactions.
• Identify hiring needs by reviewing reports and establishing relationships with local leaders and centralized partners.
• Develop and implement a new process to facilitate legally required separation paperwork.
• Post and update all open positions on internal and external job boards.
• Manage candidates through the Applicant Tracking System, collaborating to complete job templates where appropriate.
• Assist with recruitment processes, including scheduling interviews where needed, scheduling on-site and external job fairs and greeting candidates.
• Partner with Recruitment Operations regarding screening/scheduling candidates.
• Coordinate with People Leaders to create interview calendars for open positions.
• Assist with ordering and monitoring Background Checks and Drug Screening.
• Provide information to People Leaders as they communicate offers and inform candidates regarding Background Check/Drug Screening processes.
• Input employment data in the Job Requisition System.
• Schedule new hire start dates and notify People Leaders.
• Oversee new hire paperwork, orientation and associate badges.
• Provide resources to new hires regarding benefits, including direct deposit, tax forms and AskHR.
• Facilitate payment to new hire for time completing online forms and orientation where needed.
• Oversee disposition and job postings when new hires don’t report on the scheduled start date.
• Obtain systems access for new hires as needed.
• Send files to Colleague Services in accordance with Company standards as needed.
• Input colleague status changes, transfers, promotions and data corrections.
• Participate in Company required compliance audits, including I-9 reverifications and legal postings where needed.
• Respond to requests for information from Colleague Advisors and send file information as appropriate.
• Assist People Leaders with tracking attendance where needed.
• Facilitate final pay documents as needed (exempt and non-exempt).
• Assist People Leaders and HR Business Partners with managing internal movement and succession planning.
• Regular, dependable attendance and punctuality.
Qualifications:
Education /Experience:
• High school diploma or general education degree (GED);
• Minimum of two years of Human Resources, administrative, or customer service experience required.
Communication Skills:
• Excellent written and verbal communication skills, including the ability to read, write, and interpret instructional documents such as reports and procedural manuals, and present information to senior management.
Mathematical Skills:
• Ability to use a calculator and apply basic math functions such as addition, subtraction, multiplication, and division.
Reasoning Ability:
• Ability to define problems, collect data, establish facts, and draw valid conclusions; solve problems with several abstract and concrete variables.
Physical Demands:
• This position involves regular walking, standing, sitting for extended periods of time, hearing, and talking.
• May occasionally involve stooping, kneeling, or crouching.
• May involve close vision, color vision, depth perception, focus adjustment, and viewing computer monitor for extended periods of time.
• Involves manual dexterity for using keyboard, mouse, and other office equipment.
• May involve moving or lifting items under 10 pounds.
Other Skills:
• Working knowledge of Microsoft Word, PowerPoint, Excel and Lotus Notes;
• Self-motivated;
• Detail-oriented;
• Strong sense of urgency;
• Excellent organization, prioritization, and time management skills;
• Ability to handle multiple tasks simultaneously and collaborate as a team.
Work Hours:
• Ability to work a flexible schedule based on store/company needs, including retail work hours, which may include day, evening, weekends and/or holidays.
