Administrative Assistant - Norton/Barberton area - $16 to $18/hour Based on Experience

PrideStaff is recruiting for a strong Administrative Assistant for a client's service and inspection department. The successful Administrative Assistant will have strong administrative and office skills as well as being very good with customers and company workers in the field. We are looking for a strong candidate who has billing, quoting and scheduling experience. Candidates with construction and/or service related Administrative experience should apply immediately.

Job Title: Administrative Assistant - Service & Inspection Department

Provide administrative support to the Inspection, Alarm, and Suppression departments. Duties include general clerical, purchasing, inventory, and accounting responsibilities and project based work. Project a professional Company image through in-person and phone interaction. Other duties may be required as assigned by the department managers.

Essential Duties / Responsibilities:

Include the following. Other duties may be assigned. Primary:
  • Maintain and manage Inspection Sales Representatives’ and Inspectors’ Commission Paperwork.
  • Create and maintain office records, work tickets, commissions, and accrual work sheets for invoices.
  • Assist with the scheduling of manpower.
  • Perform basic accounting functions such as billing, accounts receivable, accounts payable.
  • Create and modify documents such as meeting minutes, proposals, quotes, sales activity reports, and miscellaneous correspondence.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, filing and scheduling appointments.
  • Distribute UPS/Fed Ex/Airborne packages. Distribute incoming mail and prepare outgoing mail.
Secondary:
  • Order material and equipment for field personnel.
  • Assemble and send out RFQ/RFI data on new bids.
  • Prepare and send weekly payroll report information for department managers and employees in the National Accounts, Inspection, Alarm, and Suppression departments.
  • Order and monitor inventory of Inspection Forms for branch offices.
  • Maintain Comunale installed job listings in SalesForce.com.
  • Assist with Weekly Open Ticket Reports at the branches.

Education / Work Experience:

High School Diploma or GED.

Minimum 3-5 year’s clerical or administrative experience required.

Experience in the construction industry preferred.

COMPUTER SKILLS

Proven knowledge of Microsoft Office Software (i.e., Word, and particularly Excel).
