Job Summary:
Busy multi-clinician Psychiatric office located in downtown Chicago seeks an administrative assistant with 3-5 years experience in a large medical office environment. Preference of 6-10 years of job related experience. Electronic Medical Records and prior mental health experience a plus.
Perform varied secretarial and administrative duties in support of the office. Screen and schedule new intake visits. Will be capable of independently prioritizing work and efficiently collaborating with employees to achieve a team work approach and efficient office operation. Attention to detail is essential with set priorities under supervision of Office Manager. Must be knowledgeable of HIPPA regulations and demonstrate them in daily operations and patient interactions. Flexibility and willingness in learning and managing assignments under direction of Office Manager.
Job Functions:
Schedule new intake patients with provider
Perform administrative office support
Answer routine calls and refer specific inquiries to appropriate individual
Return messages
Distribute faxes and mail in appropriate mailboxes
Inventory and identify items that need to be replenished and place order
Open office daily , coordinate patient flow
Check patients in/out and collect co-pays and co-insurance amounts at time of service
Distribute paperwork to new patients and provide updated paperwork to existing patients
Maintain office calendar including scheduling lunches with pharmaceutical reps.
Billing Functions:
Enter/update insurance and demographic information for both new and existing patients as needed
Verify insurance benefits
Ability to both understand insurance language and benefits and explain to patients effectively as needed
Apply pre-payments to accounts
Add and charge credit cards
Ability to explain statements and address concerns as needed
Set up payment plans and assist with collection efforts
Reconcile transactions and create bank deposit
