Responsibilities

The Administrative Coordinator coordinates and performs a wide variety of administrative activities to support department functions. Provides secretarial support to directors and managers to facilitate completion of department work.


WHAT YOU WILL DO:

  • Schedules and coordinates meetings, events, and travel logistics to support daily department operations

  • Manages department budgets by tracking expenses, researching variances, and preparing monthly reports

  • Processes requisitions, invoices, and expense reports; assigns accounting codes and manages petty cash

  • Maintains confidential employee records; processes timesheets, tracks PTO, and liaises with Payroll and HR

  • Drafts, revises, and implements department procedures for improved operational efficiency

  • Creates and edits documents and presentations using advanced MS Word, Excel, and PowerPoint features

  • Maintains organized filing systems (digital and hard copy); builds databases using Excel, Access, or specialized software

  • Coordinates support staff schedules to ensure adequate coverage; provides onboarding and training for new employees

  • In healthcare environments, manages patient charts in compliance with medical record guidelines

WHAT YOU HAVE:

  • High School Diploma or GED
  • 1 year of relevant office or healthcare experience
  • Microsoft Office
