Job Title: Tenant Relations & Operations Coordinator (Los Angeles, CA)
Full-time | In-house | Growth-oriented permanent role
Position Overview
Act as the central hub for collections, maintenance, and lease administration across our Los Angeles residential-and-commercial portfolio. You’ll manage the calendars, calls, and follow-ups that keep every unit occupied, compliant—while working hand-in-hand with our in-house accountant, who posts all rent receipts and produces the rent roll.
Core Responsibilities
FunctionKey Tasks
Rent Collection & Delinquencies
• Review daily rent-collection reports supplied by the Accountant
• Make phone/email/text outreach on Day 2, 5, 10 late-payment milestones.
• Negotiate and document payment plans; issue 3-Day Notices and coordinate legal filings for evictions when necessary.
• Provide the Accountant weekly updates on A/R status, payment plans, and legal fees.
Lease & Renewal Calendar
• Maintain master calendar of lease end dates.
• Send renewal or non-renewal notices 90 days in advance; prepare annual rent-increase letters in line with LAHD/RSO caps.
• Draft, e-sign, and archive leases, addenda, and RSO disclosures.
Occupancy & Vacancy Tracking
• Update dashboard of current occupancy, upcoming vacancies, and days-to-turn metrics; circulate weekly to ownership and Accountant.
Maintenance & Vendor Coordination
• Log all work orders; dispatch vendors and track completion.
• Capture before/after photos, invoices, and warranty docs; forward copies to Accountant for cost coding.
Turnover Preparation
• Launch Turnover Checklist the moment a notice to vacate is received to deliver a show-ready unit.
Required Qualifications
3+ years property-management or tenant-relations experience (residential & commercial).
Working knowledge of Los Angeles RSO, LAHD rules, eviction timelines, and CA Civil Code for rent collection and habitability.
Spanish bilingual strongly preferred.
