Key Responsibilities
Front Desk Operations:
- Greet and welcome visitors, clients, and employees with a warm and friendly demeanor.
- Manage visitor check-in and ensure compliance with security protocols.
- Answer, screen, and direct incoming phone calls to the appropriate departments.
Administrative Support:
- Handle general office duties such as filing, copying, and scheduling appointments.
- Maintain a clean and organized reception area.
- Receive, sort, and distribute daily mail and deliveries.
- Assist with ordering office supplies and maintaining inventory.
Communication & Coordination:
- Provide information to clients and visitors regarding services, appointments, and office procedures.
- Manage the booking of conference rooms and coordinate with staff for meeting arrangements.
- Serve as the primary point of contact for courier services and package tracking.
Technology & Systems:
- Utilize office management software for scheduling, data entry, and communication.
- Operate multi-line phone systems, copiers, and other office equipment.
Skills, Knowledge and Expertise
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills.
- Ability to handle a multi-line phone system efficiently.
