Job Summary:

We are seeking a detail-oriented and tech-savvy Data Digitization Specialist to join our team. In this role, you will be responsible for converting physical documents, records, and data sources into digital formats that are accurate, secure, and easily accessible. The ideal candidate has strong organizational skills, a commitment to data integrity, and experience with scanning technologies and data management systems.

Key Responsibilities:

  • Digitize physical documents through scanning, photographing, or data entry methods.
  • Ensure high levels of accuracy in data capture, labeling, and file organization.
  • Use document management systems (DMS) or databases to store and manage digital records.
  • Perform quality assurance checks to verify completeness and correctness of digitized data.
  • Classify and index documents using standardized naming conventions and metadata.
  • Handle confidential and sensitive information with discretion and in compliance with data privacy regulations.
  • Collaborate with various departments to understand digitization needs and document workflows.
  • Maintain and troubleshoot scanning equipment and related software.
  • Track progress and report on digitization projects using logs or management tools.
  • Assist in optimizing and automating digitization processes where applicable.

Qualifications:

  • Associate or bachelor’s degree in information management, library science, computer science, or a related field is preferred.
  • Proven experience in data entry, document scanning, or digital archiving.
  • Proficiency with document management software, scanning tools, and MS Office Suite.
  • Strong attention to detail and excellent organizational skills.
  • Ability to work independently and manage time efficiently.
  • Familiarity with OCR (Optical Character Recognition) technology is a plus.
  • Understanding of data privacy regulations and records retention policies.

Preferred Skills:

  • Experience in a highly regulated industry (e.g., healthcare, finance, legal, government).
  • Familiarity with cloud-based storage systems (e.g., SharePoint, Google Drive, OneDrive).
  • Basic knowledge of database systems and digital transformation practices.

Work Environment:

  • May involve handling dusty or aged physical documents.
  • Hybrid of hands-on scanning, metadata entry, and digital review work
  • May require lifting or handling sensitive equipment or documents up to 30 lbs
