- Convert inbound leads, physician referrals, and web inquiries into scheduled new patient appointments
Follow up with all potential patients who delay or decline to schedule
Maintain consistent contact with patients who cancel, reschedule, or no-show to ensure completion of care
Clearly communicate the value of treatment and encourage patients to stay on track with their plan of care
Check patients in and out, collect payments, and verify insurance benefits
Coordinate with the billing company on benefits and authorizations
Manage and adjust the clinic schedule to support efficiency and provider productivity
Maintain accurate referral tracking, send progress reports to physicians, and log follow-up activity
Support internal events and occasional community outreach as needed
- Collect new patient intake information; track all clinic referrals
- Fax reports to physicians; keep a log of incoming reports
- Verify Insurance and track insurance-covered visits; take copayments
- Check mail; keep track of Explanation of Benefits sent from mail and fax to billing company
- Communicate with the office manager and clinicians about scheduling/patient arrival
Ideal Candidate:
Comfortable selling appointments and staying persistent with leads and referrals
Proactive and able to work without supervision or micromanagement
Reliable, organized, and clear in verbal and written communication
Understands how front desk performance impacts clinic revenue and patient success
Has experience in a medical office, therapy clinic, or service-focused role with high interaction volume
Capable of multitasking and adapting to changing schedules and patient needs
Familiar with insurance basics, including copays, deductibles, and prior authorization
Requirements:
High school diploma or equivalent
Reliable transportation
Proficiency with phones, computers, and basic office software
Medical or service industry front desk experience strongly preferred
