h2About the Department/h2pThe Administrative Assistant III is responsible for custody of all Human Resources and Employment files, and correspondence related to the daily operation of the Human Resources Department.nbsp; Provides administrative and clerical support to the Director and human Resources.nbsp; Performs a variety of tasks to include answering phone inquiries, handling sensitive employee and company information, assisting applicants and employees by providing application information, helping with form completion, preparing timesheets for payroll and verifying accuracy, prepare purchase orders, order supplies and track expenditures; submit invoices for payment; maintaining records for leave balances, processing personnel transactions, print requests and maintain inventory; Prepare correspondences, agendas, minutes and presentations. Equivalent combination of education and experience will be considerednbsp;brbrstrongKnowledge, Skills and Abilities:/strongulliKnowledge of modern office practices, procedures, equipment and clerical techniquesliMust be highly computer literate with extensive experience in database management.nbsp;liKnowledge of business, English, spelling and arithmeticliSkill in the use of modern office equipment, to include computer, copier/scanner/fax, telephone and calculatorliSkill in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).liGood interpersonal/organizational/telephone skillsliGood math skills with excellent attention to detailliAbility to prepare clear and concise oral and written reports/correspondences/presentationsliAbility to use basic mathematical tabulations and computations and make corrections accuratelyliAbility to maintain personnel records and filesliDetail oriented and able to type 40 wpmliGood customer service skills with the ability to deal with the public with tact and courtesyliAbility to keep sensitive information and records confidentialliAbility to receive and resolve complaints and questionsliAbility to maintain effective working relationships with employees and the general publicliAbility to meet deadlinesliAbility to quickly learn BREC policies and procedures/ul/ph2Minimum Qualifications/h2pstrongEssential Functions and Duties:/strongulliProvides administrative and secretarial support to the HR DirectorliAnswers the telephone, disseminating positive and informative responses to public inquiries and employees, management regarding employment and HR-related matters; Refers concerns/complaints to appropriate staff membersliEstablishes and maintains employment records, including: hard copy files, computerized records and control documents in accordance with established proceduresliUtilize spreadsheets for cost tracking and data analysisliPrepares invoices and submits billing for paymentliPrepares business correspondence, memorandums and lettersliReconcile department credit card chargesliSchedule appointments and departmental meetingsliMaintains daily timesheets and prepares bi-weekly payrollliInitiates computer inquiries and produces management reports upon request.liEstablishes and maintains master form files and updates, initiating re-designs, and re-prints as necessary.liInventory control and re-orders departmental supplies.liAssists with audits of personnel files, forms and transactions for all appointments and status changes for accuracy and completeness.liOversees termination process including transaction, final pay and LDOL 77 in accurate and timely manner, consulting supervisors as necessary.liAssists in verifying payrolls, accuracy of pay rates, contractual limitations, and FLSA compliance.liPrepare agenda and presentation for HR Advisory Committee meeting to include coordinates monthly committee meeting reports, minutes and reminders; contact advisory members.liManage ID Badge System and print badgesliManage and troubleshoot copy machineliComplete purchase orders, initiate work order request, and help desk tickets/ulnbsp;brstrongSecondary Functions and Duties:/strongulliProvides administrative support and may serve as backup for internal functions to include recruiting, benefits, risk management and training.liMay direct the work of part-time staff.liOther duties as assigned./ulnbsp;brstrongemThis job description in no way states or implies that these are the only duties to be performed by this employee.
