Job Summary

The Coordinator of Administrative Services is responsible for coordinating and assigning office operations/functions and conducting research/completing projects in support of and assigned by the Provost. This position serves as the first line of contact for the Office of Academic Affairs and distributes inquiries to the appropriate staff person or campus partner. The incumbent must have impeccable people skills, exemplify excellent customer service, be insightful on specific matters, detailed oriented, and have the ability to follow through.

  • Greet and assist all visitors to the Office of Academic Affairs with a professional, friendly, and helpful demeanor; proactively address inquiries and concerns.
  • Oversee and coordinate the day-to-day administrative functions of the office, ensuring efficient workflow and adherence to intuitional policies.
  • Independently manage the calendar for the Provost including scheduling meetings, appointments, and events with internal and external stakeholders; manages the coordination of logistics such as room reservations, technology setup and catering.
  • Draft, proofread, and distribute a wide range of communications, including emails, letters, memos, and reports, ensuring accuracy and timely delivery.
  • Establish and maintain comprehensive and organized filing systems for confidential documents, policies, reports, and other critical information related to academic affairs; ensure compliance with data retention processes and procedures.
  • Research issues utilizing current files/paperwork, the internet and other persons on campus to provide insight or solutions to inquiries received by Academic Affairs.
  • Provide comprehensive administrative and logistical support for special projects initiated by the Provost.
  • Monitor and order office supplies, maintain inventory, and coordinate maintenance for office equipment to ensure continuous availability and functionality.
  • Assist with the coordination of university catalog changes on an annual and as needed basis.
  • Handle basic financial processes such as processing invoices, expense reports, and purchase requisitions in accordance with institutional financial policies.
  • Oversee recruitment and hiring of student employees to include supervision and time card management.
  • Handle sensitive and confidential information with the utmost discretion and professionalism, adhering to FERPA and other relevant privacy regulations.
  • Assist with coordination of activities for Fall and Spring Commencement ceremonies, Founders Day, Honors Convocation and Fall and Spring Institutes.
  • May be directed to perform job-related tasks other than those specifically delineated in this description.
Required Qualifications
  • Associate's degree from an accredited institution
  • Three to five (3 to 5) years of experience in an administrative support position (higher education experience preferred)
  • Proficiency with Microsoft Office Suite, DocuSign and other related software
Proposed Salary

The proposed salary is $23.79 to $25.96 per hour.

Knowledge, Skills, & Abilities

  • Knowledge of computer software or programs such as BANNER, PAWS, PeopleSoft, etc.
  • Knowledge of modern office practices and procedures
  • Knowledge of basic bookkeeping and mathematics
  • Skilled in managing multiple priorities simultaneously with a high level of customer service
  • Skilled in the use of small office equipment, including copy machines or multi-line telephone systems
  • Ability to learn Savannah State University, University System of Georgia, and Board of Regents policies and ordinances
  • Ability to maintain a professional demeanor and an orientation toward customer service
  • Ability to organize, and communicate effectively
  • Ability to maintain a professional and confidential work environment
  • Ability to maintain constructive and cooperative working relationships with others
  • Ability to cooperate with fellow employees as a team member
