Job SummaryThe Administrative Assistant is responsible for providing administrative support and serves as the initial point of contact for The Dean, Chairs, Faculty, and Students within the College. This includes answering the telephone, screening calls, routing calls, ordering supplies, coordinating meetings, scheduling events, and planning travel. The Administrative Assistant provides a high level of administrative support to the faculty, students, and visitors through coordination, communication, critical thinking, teamwork, and office management, to promote the mission and goals of the institution.

- Answers the telephone, screens, and route calls or takes message
- Greet and respond to in-person, phone, and email inquiries; assists faculty, students, and visitors where needed
- Compiles and proof-reads correspondence and reports as requested
- Manage incoming and outgoing correspondence from faculty, students, and visitors; assist in office management
- Processes procurement statements for faculty and students
- Escorts/tours students and visitors to various parts of campus if needed
- Performs inventory and property management to ensure supply needs are met for faculty, students, and the classrooms
- Establishes, organizes and maintains a filing system for faculty and student documents
- Maintains the privacy of students and their records
- Maintains the privacy of faculty and their records
- Arranges meetings, conferences, teleconferences, workshops, seminars, and travel for faculty and students; will communicate with university travel and travel agency, if necessary, for Travel Authorizations
- Routes paperwork to be approved/signed to the appropriate faculty and/or students
- Utilizes BANNER or the most current system to generate necessary reports and to schedule course implementation
- Assists in the implementation of special projects and events, including outreach events held by the STEM Career and Outreach Services department
- Transcribes, distributes, and posts minutes from faculty meetings and/or related student meetings
- Supervises and manages student workers
- Supports the college by performing all other duties as assigned by the Dean's office
- May be required to perform job related duties other than those specifically delineated in this position
- Associate's degree or minimum of two (2) to three (3) years of college credit from an accredited Institution
- Two to three years of higher education office-related work experience

- Experience with BANNER and PeopleSoft
- Proficiency with Microsoft Office Suite (Word, PowerPoint, Excel, etc.)

The proposed salary range is $20.43/hour to $22.35/hour.
Knowledge, Skills, & Abilities- Knowledge of computer software or programs such as BANNER, PeopleSoft, etc.
- Knowledge of modern office practices and procedures
- Knowledge of basic bookkeeping and mathematics
- Skilled in managing multiple priorities simultaneously with a high level of customer service
- Skilled in the use of small office equipment, including copy machines or multi-line telephone systems
- Ability to learn Savannah State University, University System of Georgia, and Board of Regents policies and ordinances
- Ability to maintain a professional demeanor and an orientation toward customer service
- Ability to organize, and communicate effectively
- Ability to maintain a professional and confidential work environment
- Ability to maintain constructive and cooperative working relationships with others
- Ability to cooperate with fellow employees as a team member.
