Full Time, Facilities Coordinator
$23 to $30, DOE
Monday to Friday, 8 am to 4 pm
Under the supervision of the Director of Buildings and Grounds, will assist with general administrative functions and needs. Provides support answering phones, managing electronic work order system (WorxHub), and community programs.
- Answers all incoming calls in a professional manner using a telephone console ; locates individuals, takes messages as necessary; may receive/transmit fax messages;
- Greets and gives directions or information to residents, personnel, visitors, guests and vendors;
- Assigns work orders to appropriate team members and follows-up as needed to ensure closure
- Performs filing and general clerical duties; may type correspondence, reports and/or other assignments as directed by Director of Buildings & Grounds
- Responsible for issuing, tracking and creating reports of the maintenance work order system;
- Works closely with the Director, Maintenance Supervisor, Housekeeping Supervisor, and other team members to resolve facility problems efficiently
- Codes all invoices for payment
- Coordinates apartment renovation work with Maintenance team members and outside vendors
- Works with property management company to manage rental properties when needed
- General problem solving ………….. blocking for the quarterback
- Manages building access cards for team members
- Maintains current data in apartment / work order database (WorxHub)
- Maintains current contact data in our emergency communications app
- Prepares and distributes reports and material required for meetings as needed;
- Keeps Director informed of all issues and concerns of residents, families or staff;
- Orders office supplies and other department supplies as needed;
- Maintains and updates files and reference materials;
- Notifies Security of any problems or concerns;
- Relates messages via two way radio and pager system
