Position Overview
We are hiring an organized, bilingual, Front Desk Administrative Assistant to manage front desk operations and support daily clinic workflows at our RTP location. This role is essential in providing a welcoming environment for clients and families while handling scheduling, documentation, and communication tasks to ensure smooth and efficient operations.
Key Responsibilities
- Fluent in Spanish and English
- Client & Visitor Experience: Warmly welcome clients, families, and visitors, ensuring a professional and friendly atmosphere. Support a smooth check-in and check-out process and assist guests as needed.
- Scheduling & Coordination: Oversee appointment scheduling, manage calendars for staff and clients, and coordinate internal meetings and training sessions.
- Documentation & Compliance: Keep clinical records up to date, assist with data entry, and support compliance with HIPAA and ABA documentation standards.
- Communication & Support: Act as the main point of contact for phone, email, and walk-in inquiries. Share messages clearly and help streamline communication between staff, clients, and families.
- Project Assistance: Help coordinate events like spirit days, quarterly outings, and morale-boosting activities that contribute to a positive workplace culture.
- Office Management: Monitor front desk supplies and Amazon orders, maintain clean and organized front desk spaces, and assist with daily administrative clinic needs.
Qualifications:
- Professional, friendly demeanor with strong interpersonal skills
- Excellent organizational and time management abilities
- Experience in administrative roles, ideally in healthcare or ABA settings
- Proficient in Microsoft Office and scheduling/data platforms
- Strong written and verbal communication skills
- Able to multitask and adapt in a fast-paced environment
- Familiarity with HIPAA and ABA compliance (preferred, not required)
