Loop Medical Center is a busy and growing interventional pain management and varicose vein clinic located in the heart of Chicago's South Loop. We are dedicated to providing compassionate and effective care to our patients in a comfortable and supportive environment. We are seeking a friendly and highly organized individual to join our team as a Patient Scheduling Coordinator.

Job Summary:

The Patient Scheduling Coordinator is responsible for managing patient appointments and ensuring the smooth and efficient operation of our clinic's daily schedule. This role involves interacting with patients, physicians, and other staff members, requiring excellent communication and interpersonal skills.

Key Responsibilities:

  • Answer multi-line phone system in a professional and courteous manner, addressing patient inquiries and scheduling appointments.
  • Educate patients
  • Utilize scheduling software to manage appointments, ensuring accurate data entry and efficient scheduling practices.
  • Confirm appointments and send reminders to patients via phone, email, or text message.
  • Collect and update patient demographics and insurance information.
  • Manage physician schedules, coordinating appointments and accommodating urgent requests.
  • Maintain patient confidentiality according to HIPAA regulations.
  • Assist with other administrative tasks as needed, such as faxing, scanning, and filing.

Qualifications:

  • High school diploma or equivalent.
  • At least one year of experience in a medical office setting preferred, ideally in a similar specialty (pain management, orthopedics, etc.).
  • Strong knowledge of medical terminology.
  • Proficiency in using computers and scheduling software.
  • Experience with NextGen EMR is highly preferred.
  • Excellent communication, interpersonal, and organizational skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Knowledge of pre-authorization procedures is a plus.
  • Bilingual (Spanish) is a plus.
