Responsibilities
  • This position provides administrative support for the Office of Student Counseling in the Division of Student Affairs and Admissions (DSAA) at the College of Medicine. This position provides direct administrative support to the Assistant Dean of Student Counseling and faculty psychologist, while also providing administrative support for the additional three faculty psychologists in the Office of Student Counseling Services.
  • Serves as the first point of contact for the Office of Student Counseling Services (OSCS). Handles confidential and sensitive information, adhering to Family Educational Rights and Privacy Act (FERPA), Health Insurance Portability and Accountability Act, and office policies. Represents the Office of Student Counseling with all levels of administration to units internal and external to COM and FSU. As such, demonstrates effective customer service and communication skills, easily engaging with a variety of individuals. Schedules clinical and administrative appointments for the four OSCS faculty psychologists, manages and maintains all four faculty psychologists’ Outlook and EMR calendars. Schedules and coordinates psychoeducational assessments appointments with doctoral practicum students under the supervision of faculty psychologists. Coordinates initial appointments with psychiatrist's office staff, and routes necessary paperwork for referrals. Assists the Assistant Dean of Student Counseling as Administrator of electronic health record (EHR) software including monthly updates, coordination with IT for database support and maintenance, and providing support to OSCS faculty utilizing the EHR. Oversees the coordination of activities and events in support of program initiatives and strategic initiatives and implements changes to promote effective and efficient operations. Stays apprised of changes in University and COM policies and procedures.
  • Provides direct assistance to the Assistant Dean of Student Counseling on a variety of administrative tasks and initiatives. Assists the Assistant Dean of Student Counseling with the management and tasks related to all office programming; this includes planning, facilitating, and maintaining OSCS programming existing or developed by the office. Provides direct administrative support to the Assistant Dean of Student Counseling on leadership responsibilities in committees or organizations. Provides direct assistance to the four faculty of the Office of Student Counseling Services for the compilation and preparation of materials for meetings, compiles data and reports and provides information needed for management decisions. Supports faculty in research activities, as approved by the Assistant Dean for Student Counseling. Drafts communications on behalf of the Assistant Dean of Student Counseling, where appropriate. Assists with administrative processes including coordinating submission of paperwork for COM appointment process, tracking psychology continuing education credits in database, completing paperwork for psychology licensure payments, updating of Regional Campus mental health resource database, maintaining the office website and social media accounts, etc. May participate in additional trainings related to administrative support and those relevant to the client populations (e.g., mental health, well-being, etc.).
  • Promotes an atmosphere of teamwork in accomplishing the goals of the Office of Student Counseling Services. Includes participating in the delivery of administrative support services for special projects or events developed by the Office of Student Counseling Services. Assists Division staff with student functions such as Orientation, White Coat Ceremony and Graduation, etc., actively participating as part of a team in the functions of the Division. Includes participating in other activities as directed in support of the Division. May require occasional evening and weekend hours. Manages travel for faculty psychologists, including approvals, expense reports, and other travel details. May be asked to run occasional errands in support of DSAA events and COM business activities. Performs other related duties as required to assure the efficient operation of the office, including but not limited to, providing back-up assistance to support staff in the Division in their absence or during peak work times.
Qualifications

Bachelor’s degree and two years experience or a combination of post high school education and experience equal to six years.

Anticipated Salary Range

Starting salary: Mid $40,000s, commensurate with education and experience
