Position Overview

The Logistics Support Specialist will support and report to the Director of Operations and will be responsible for providing support for all inquiries pertaining to shipping. This person will work as a liaison to Production, Sales, Shipping and Procurement Department using proactive thinking critical thinking skills to troubleshooting shipping situations including outgoing and incoming shipments.

Specific Position Requirements

  • Minimum of 2 years in office experience.
  • Associates Degree
  • Manage relationship with the client during ongoing projects.
  • Maintain comprehensive project documentation.
  • Possess experience working with ERP & Project Management Systems.
  • Daily check-in on all projects across the board regarding shipping status.
  • This position will be required to review all drop ship files for accuracy before assigning shipping department the addresses in ShipStation. Any information that may be needed, you will be responsible for tracking down.
  • Communication will be required through the Sales, Procurement and Shipping Department to provide the correct and updated data. Being a liaison between shipping and front-end operations.
  • Watching over shipping exceptions. You will be responsible for communicating with FedEx/UPS/DHL/USPS, etc on next steps to release shipments from customs/pending delivery/incorrect addresses/etc.
  • Helping file claims and disputing issues with the carriers.
  • Setting up proper customs information in our shipping platform, Shipstation.
  • Understanding of HTS codes and when these are to be applied. Also have an understanding how and why we declare our product.
  • Ensure that all sales orders are properly inputted with shipping and billing addresses.
  • Create Drop Ship Files formatted to ShipStation and assign proper reference numbers that are identical to what was assigned to Production Proofing.
  • Provide support to Procurement + Programs Manager when arranging meetings with Shipping Couriers.
  • Willingness to learn and be an additional support for LTL shipments.

Basic Requirements

  • Well organized with excellent communication skills.
  • Must be very comfortable using a computer.
  • Thorough knowledge of spreadsheets and other office tools.
  • Solid command of the English language: Both written and verbal.
  • Strong multi-tasking and organization skills. Advanced time management and analytical skills.
  • Impeccable attention to detail.
  • Able to thrive in a high-stress and fast paced environment.
  • Excellent client facing communication skills.
  • Excellent communication skills, self-motivated, self-starter, sense of urgency, well organized and very personable.

  • Establish reliable lines of contact with the account managers to ensure that all sales orders are accurate.
  • Provide value-added solutions to account managers based on his/her needs and requirements for their orders.
  • Capable of working in a team environment.
  • Perform additional duties assigned by the Procurement + Programs Manager.

Required Education & Experience

Associates Degree. Minimum two (2) years of related office experience.

Qualifications and Physical/Mental Requirements

Logistics Support Specialist must have direct experience in sales and customer service. Experience using CRM, ERP & Project Management systems. The ideal candidate should resemble high levels of emotional intelligence and can read, interpret, manage and address the majority of Customer & Account Manager needs.

Daily tasks include: Flexible with work hours. Sitting, answering calls, computer work, responding to emails, occasionally walking and standing. Educating customers, customer order processing, sending out sales orders, etc.
Interacting with small and large teams, executing while keeping laser focus on project goals, and having a positive attitude is a must. Letting your personality show!
