Project Specialist
ATA Services, Inc. is currently seeking to hire a Closed-Loop Referral System Implementation Project Specialist to work on a temporary assignment. This position is remote, however, the candidate MUST live in New Mexico.
- $70 an hour with weekly pay
- Start Date: September 8, 2025
- End Date: April 17, 2026
- 30 hrs. a week
- Remote – The candidate MUST live in New Mexico.
This role will lead the implementation and rollout of the FindHelp closed-loop referral system. This includes ensuring integration with existing workflows and maximizing staff adoption. The role involves collaboration with staff, leadership, and external vendors to achieve efficient and effective referral processes.
Key Responsibilities
Workflow Analysis and Optimization:
- Facilitate sessions with staff to analyze current referral workflows, identify pain points, and define the optimal, most efficient closed-loop referral process.
- Develop a User Scoping Matrix and Workflow Diagrams/Statement of Work to document current and proposed processes.
System Configuration and Branding:
- Collaborate with the team to review platform customization options and guide decisions on the look and feel of the staff site.
Technical Liaison and Implementation:
- Act as the primary liaison and point of contact between the organization and the system vendor.
Launch Planning and Execution:
- Develop a detailed plan for introducing the system to staff and navigators, including a determined launch date.
Training and Support:
- Identify specific training needs for various staff roles and outline training plans, based on finalized user and workflow scope.
- Develop or adapt training modules, guides, and resources tailored to staff needs and platform functionality.
- Lead engaging training sessions for staff, covering platform usage, referral processes, and best practices.
- Provide ongoing post-training support and assistance to staff as they begin using the system, addressing questions and troubleshooting issues.
- Referral Process Refinement and Monitoring:
- Assist in establishing processes for regular updates and verification of provider information within the system.
- Evaluate the referral process to ensure maximum efficiency and adherence to best practices, based on initial rollout insights and ongoing feedback.
- Implement a reliable method to track the status of referrals, from initiation to closure, and ensure proper routing to specialists.
- Track key metrics related to referral completion and outcomes to identify areas for improvement and demonstrate the impact of the system.
Qualifications
- Proven experience in implementing and rolling out new systems.
- Strong understanding of referral workflows and best practices in healthcare or related service industries.
- Excellent communication, interpersonal, and training skills, with the ability to effectively engage and guide diverse groups of staff.
- Demonstrated ability to collaborate effectively with internal teams, leadership, and external vendors.
- Proficiency in developing training materials and delivering engaging training sessions.
- Strong organizational skills and attention to detail, particularly in documentation and data management.
- Ability to analyze data and draw insights to drive process improvements.
