Job Description

The Front Desk Admin Support will be responsible for overseeing R-colds, front office & administrative duties on a daily basis. Must be able to optimize day-to-day activities while maintaining great customer service and perform administrative and clerical tasks.

Essential Job Functions:

·         Greet and welcome guests as soon as they arrive at the office

·         Direct visitors to the appropriate person and office

·         Answer, screen and forward incoming phone calls

·         Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

·         Provide basic and accurate information in-person and via phone/email

·         Receive, sort and distribute daily mail/deliveries

·         Maintain office security by following safety procedures and controlling access via the reception desk (monitor sign-in log)

·         Order front office supplies and keep inventory of stock

·         Arrange travel and accommodation

·         Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

·         Collect safety related/company related forms or meeting agendas from field crews

Requirements:

·         2 to 3 years of experience with administrative, clerical and office duties and setting.

·         Hands-on experience with office equipment (e.g. fax machines and printers)

·         Proficiency in Microsoft Office, word, excel. Power point

·         Ability to be resourceful and proactive when issues arise

·         Professional attitude and appearance

·         Solid written and verbal communication skills

·         Excellent organizational and leadership skills & attention to detail.

·         Ability to communicate effectively, with employee customers and vendors

·         Ability to report effectively

Physical Requirements:

·         Lifting, carrying, pushing and/or pulling of objects and materials of up to 35lbs

·         Have the ability to sit, stand and walk for up to 8 hours a day.

·         Some combination of stooping.

·         Some tasks require the ability to perceive sounds and visual cues or signals. 

Environmental Exposures:

 Performance of essential functions may require exposure to hazardous materials/chemicals, odors, temperature, weather, noise extremes, air pollutants/air quality and traffic hazards.
