We are looking for an experienced Receptionist / Administrative Assistant to join our team in Houston, Texas. This role is integral to ensuring smooth daily operations and providing exceptional support to both staff and visitors. Responsibilities:
• Schedule and organize meetings, interviews, and other events to ensure efficient planning and execution.
• Leverage advanced Excel functionalities, including Pivot Tables, to analyze and present data effectively.
• Address and resolve minor technical issues, coordinating with IT support when necessary.
• Maintain a welcoming and organized reception area that aligns with the company’s brand image.
• Offer administrative support to various departments to facilitate smooth day-to-day operations.
• Manage calendars and coordinate appointments with accuracy and attention to detail.
• Assist with preparing reports and documents using Microsoft Office Suite tools.
• Handle incoming calls and correspondence, ensuring timely and accurate responses.
• Ensure compliance with federal grant-related documentation and administrative processes.
• Collaborate with team members to streamline workflows and improve overall efficiency.• Minimum of 5 years of experience in a receptionist or administrative role.
• Advanced proficiency in Microsoft Excel, including the ability to create Pivot Tables.
• Strong organizational and multitasking abilities with a proactive approach to problem-solving.
• Excellent written and verbal communication skills.
• Familiarity with scheduling tools such as Microsoft Outlook.
• Ability to troubleshoot basic technical issues independently or escalate as needed.
• Experience managing federal grant documentation and processes is preferred.
• Proven ability to work collaboratively in a team-oriented environment.
