A Medical Office Phone Operator serves as the first point of contact for patients, healthcare providers, and other callers contacting a medical practice. This position requires excellent communication skills, attention to detail, and a commitment to providing exceptional customer service in a fast-paced healthcare environment.

Key Responsibilities

·         Answer incoming phone calls promptly and professionally, addressing inquiries and directing calls to the appropriate staff or department.

·         Schedule, confirm, and reschedule patient appointments using the office's electronic health record (EHR) system.

·         Provide accurate information to patients regarding office policies, procedures, and services.

·         Take detailed messages and ensure timely delivery to the correct recipient.

·         Handle calls related to prescription refills, insurance verification, and basic billing inquiries, escalating complex issues as needed.

·         Maintain confidentiality of patient information in accordance with HIPAA and office guidelines.

·         Assist with other administrative tasks, such as faxing, scanning, and filing, as assigned.

 

Qualifications

·         High school diploma or equivalent required; additional administrative or medical office training preferred.

·         Previous experience in a medical office or healthcare setting is a plus.

·         Strong verbal communication skills and a professional telephone manner.

·         Ability to multitask, prioritize, and remain calm in a busy environment.

·         Proficiency with computer systems, including scheduling software and Microsoft Office Suite.

·         Knowledge of medical terminology and privacy regulations (HIPAA) is desirable.

·         Excellent organizational and time management skills.

·         Demonstrated commitment to patient-centered service and teamwork.

Work Environment

Medical Office Phone Operators typically work in a clinical setting during regular business hours; Monday-Thursday 8am-5pm, Friday 8am-2pm The role requires extended periods of sitting and frequent use of telephone and computer systems.
