Our client is seeking a friendly and personable employee who will be responsible for general office receptionist tasks as well as entry-level accounting functions. Ideal candidate is eager to learn, works well in a high-speed environment, is good at multitasking and comfortable with public speaking. Good candidates possess a keen ability to multi-task, the ability to switch between tasks quickly and easily; is computer adept; and is adaptable – having the ability to quickly think on their feet. Also has a great work ethic and is reliable.

Receptionist & Office Duties

·        Answer phone, direct phone calls/take messages as directed, and maintain accurate call log.

·        Filing and matching Accounts Receivables. Additionally, other filing, scanning and copying duties.

·        Assist with special projects, reports, and activities.

·        Office Supply ordering and maintaining supplies and stock.

·        Other duties as assigned.

·        Must own smart phone and have knowledge of use and operation of said phone; including the ability to receive, read and respond to email and text messages.

Accounting support duties                                                      

·        Prepare daily invoices for the Parts Department including deliveries, will calls and shipping.

·        Process customer credit applications and update Management and Salesman on pending accounts weekly. Quarterly review and report on stagnant credit app accounts.

·        Prepare customer invoices, vendor checks and other related material for mailing.

·        Cross update ALL company systems with current address and contact information for customers and vendors, as requested.

·        Back-up for Accounting department as workload demands.

·        Rotate and store files annually.

·        Abide by all written policies and procedures

·        Other duties as assigned.

Required Skills

·        Friendly, Professional and comfortable with public speaking

·        Able to work in high volume/high stress environment

·        Must be able to handle a multi-line phone system with specific transfer rules

·        High School Diploma required; Associates Degree preferable

·        Valid Driver’s License

·        Must be able detail oriented, good organizational skills and Team oriented

·        All Microsoft office products (Excel, Word, Teams, etc)

·        Microsoft Excel (Average – Required, Advanced – Preferred)

·        Quickbooks (Beginner – Required, Average – Preferred)

·        Bi-Lingual a plus

·        Data Entry & 10-Key

·        Ability to handle confidential information

·        Must be able to lift at least 10lbs and able to sit for long periods of time.
