Office COORDINATOR AT LEADING PHILANTHROPIC NON-PROFIT
Base Salary is $60K to $70K (based upon candidate and experience); Discretionary Bonus; and Excellent Benefits

The office is in mid-town Manhattan and closed between Christmas and New Year's. Great organization. This is not a 24/7 role.
Leading, world-renowned, non-profit looking for an experienced office support/administrative professional to join its Team as a Receptionist. In this role, you will be the First Point of Contact for all Visitors and Employees and will be responsible for extending a friendly, welcoming, and professional approach towards every individual and caller. This role requires that the person display strong communication skills and coordinate effectively with Office Services, administrative and other staff to ensure smooth day-to-day operations.
This role requires an In-person Presence Five (5) Days per Week and will Work a Daily Schedule from 8:45am-6pm on Mondays, Tuesdays and Thursdays and 9am- 6pm on Wednesdays and Fridays. There will be some variation on occasion to support office needs, so flexibility to come in earlier or stay later for desk coverage as needed is required.
SKILLS AND REQUIREMENTS
" Bachelor's Degree required.
" Two Plus (2+) years of Previous Reception/Office Assistant experience required.
" Must have confident and clear communication and telephone skills and be professional, welcoming and courteous to visitors, staff and callers.
" Reliable, consistent attendance in the office is required, and punctuality is critical.
" Must be discreet with proven ability to handle confidential information with integrity and discretion.
" Must be well organized with high attention to detail.
" Must have excellent follow-through skills.
" Proficient with office technology including Outlook, Word, Excel and PowerPoint.
" Must be self-motivated and work well independently, as well as a team player eager to assist colleagues at all levels.
DUTIES AND RESPONSIBILITIES
Reception
" Greet staff and visitors in a friendly and welcoming manner.
" Throughout the day, monitor the visitor's log to ensure that all scheduled guests are greeted at the front desk with courtesy and professionalism.
" Offer to assist visitors with hanging coats and storing umbrellas, large bags or other items.
" Notify Executive Assistant and/or host of visitor(s) arrival.
" Answer main telephone line with professionalism and direct calls to the appropriate staff.
" Manage and maintain cleanliness of the main reception area.
" If requested, enter visitor information into building visitor log for upcoming visits.
" Manage and maintain an updated reception desk manual and related standard operating procedures.
" Coordinate review and approval of Certificates of Insurance (COIs) by building management, submit building tickets and reserve service elevator as needed.
" Maintain conference room calendars and schedule/reschedule meetings as directed.
" Be open and available to provide reception and administrative support at office events during and outside of regular work hours.
" Notify Recruiting and HR Coordinator of employment candidates' arrival.
" Work in cooperation with Office Services and administrative staff to ensure the reception desk is covered while on lunch and during breaks.
Office and Administrative Support
" Assist with special projects and events as requested.
" Assist with administrative work as requested.
" Collaborate with and provide back-up coverage for Office Services colleagues as requested, including the following as needed:
o Pick up and distribute mail, packages and other deliveries.
o Sign for packages and notify applicable recipient immediately of all incoming messenger, FedEx, UPS and USPS packages.
o Prepare FedEx, messenger packages, and regular mail as requested.
o Drop off FedEx packages at the FedEx store and regular mail in lobby.
o Maintain and replenish FedEx shipping supplies.
o Coordinate arrangements for weekly delivery of mail from company offsite post office boxes and distribute as applicable.
o Reconcile and process certain vendor invoices.
