CUSTOMER SERVICE REPRESENTATIVE, WHOLESALE/MANUFACTURING
The Customer Service Representative will initially work with order entry and customer service responses. The responsibilities include, but are not limited to working directly with businesses, agencies and other organizations as clients. The rep will attend conferences, meetings and presentations on behalf of the company to explain and promote the product and answer any questions or concerns from prospective clients. This role will be the main contact with clients in the assigned region, and will have great understanding of the company’s products and services as to better support clients. The role will also be responsible to develop forecasting within the assigned region along with that region’s current clients. This role will also provide Bid Support Assistance which is administrative and customer service support to ensure efficient processing of customer requests, bid submissions, contract documentation, and sales operations. This entry-level role assists with preparing bid packages, maintaining customer records, coordinating documentation, and providing exceptional service to customers and internal departments.

What you will be doing as a customer service representative:
- Ensure that customer inquiries are responded to promptly, complaints are addressed and orders are processed in a timely manner
- Keeping records of customer interactions, transactions, comments, and complaints
- Act as an ambassador of our mission, brands and products while building partnerships with food service companies in the region
- Contact customers, explain and promote products
- Recommend ways to promote and display products for buyers in the market
- Monitor and report on market conditions, production innovations and competitor’s products, prices and sales to management and ownership
Requirements and Qualifications
- Data driven with strong Analytical, communication, organization and time management skills
- Frequent Travel
- Positive, empathetic and professional attitude
- College degree or equivalent experience
- Ability to stay calm in high pace or high stress situations
- Comfortable using excel, developing reports, and presenting on market analysis data and future projections
- Experience working with customer support
Customer Service
- Serve as a primary point of contact for customer inquiries via phone and email.
- Process customer orders and provide order status updates.
- Respond to requests for product information and documentation.
- Maintain accurate customer records and files.
- Coordinate with Sales, Operations, and Logistics to resolve customer issues.
- Assist with new customer account setup and documentation.
- Monitor customer communications and ensure timely follow-up.
Bid & Proposal Support
- Assist in preparing bid and proposal submissions.
- Gather required documentation for RFPs, RFQs, and contract renewals.
- Maintain bid calendars and monitor submission deadlines.
- Organize bid files and supporting documentation.
- Assist with pricing spreadsheets and product information.
- Prepare compliance documents, certifications, and required forms.
- Track bid awards and contract expiration dates.
- Maintain electronic filing systems for bids and contracts.
Qualifications
- College Degree Preferred
- 1–2 years of administrative or customer service experience preferred.
- Experience with Microsoft Office, including Excel, Word, and Outlook.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- High attention to detail and accuracy.
- Ability to work independently and as part of a team.
Preferred Skills
- Experience working with bids, proposals, or government contracts.
- Knowledge of ERP systems and CRM software.
- Experience in foodservice, manufacturing, or distribution is a plus.
