Job Summary:
The Proposal Coordinator plays an integral role in driving our Government and Public market initiatives, while contributing to key business development efforts. The Proposal Coordinator will be responsible for all phases of the proposal development lifecycle including capture planning, strategizing, organizing, and executing proposals. In this role, you will work collaboratively with the Director of Business Development, internal subject matter experts, and external teaming partners, to ensure timely and compliant proposal submissions.
Key Responsibilities:
- Proactively identify, track, and manage Government, State, and Municipal contract opportunities using sources such as SAM.gov, WI.gov, VendorNet, etc.
- Thoroughly assess the suitability and potential value of contract opportunities based on specific criteria
- Lead the development of compelling, clear, and concise proposal content, ensuring adherence to established guidelines, compliance, and consistent messaging
- Coordinate, write, review, and edit original content for non-technical proposal sections to deliver clarity, compliance, and key messages and win themes
- Establish and manage proposal schedules and deadlines, build out proposal workbooks, monitor progress, and coordinate with internal staff
- Schedule and facilitate Project Kick-Off Meetings with teaming partners
- Independently coordinate with and collect information from teaming partners and subconsultants
- Review proposal drafts and final documents to ensure responsiveness, compliance, and quality
- Support follow-up activities including confirming submission receivals, responding to supplemental requests for information, and submitting requests for debriefs
- Work with Project Architects and Designers to develop and/or update project descriptions and team resumes in accordance with RFP/Q responses
- Conduct Government and Public market research to gather intelligence on potential future opportunities and emerging trends to inform business development initiatives
- Populate, update, and manage business development-related tools, such as Pipeline reporting and project databases
- Draft creative covers, update org charts, edit project marketing materials, create tables and diagrams, etc.
- Support business development strategies that align with business objectives, market trends, and client requirements, effectively positioning NAE to win competitive bids
- Develop strategies to enhance proposal development efficiencies and contract win rates
Minimum Qualifications:
- Bachelors degree in Business, Communications, Marketing, or a related field
- 3+ years of experience in proposal development, business development, or marketing
- 1-3 years of experience in Architectural Engineering and Construction (AEC Industry), government contracting, or a related field
- Proven track record of leading successful proposal efforts
- Excellent technical writing and verbal communication skills
- Exceptional organization and project management skills, with the ability to manage multiple proposals and competing deadlines while maintaining attention to detail
- Demonstrated ability to work independently, managing cross-functional collaboration and coordination
- Proficiency in Microsoft Office Suite
- Proficiency in Adobe Creative Suite (InDesign)
Additional Preferred Skills:
- Experience or Familiarity with Federal procurement processes
- Experience or Familiarity with State procurement processes
- Experience or Familiarity with the RFP/Q proposal process
- Experience or Familiarity with the SF330 proposal process
