SUMMARY

Bering Straits Global Innovations, a company within the BSNC family, is currently seeking a Junior Document Control Specialist to support our Colorado Springs operations. Responsibilities include, but are not limited to: Assist our Operations, Proposal and Project Management teams in the daily administration and support of construction and office operations; to include organization and coordination of workload and project management documentation for multiple project teams. The Junior Document Control Specialist will assist the project and proposal management teams with document control; includes maintaining proposal filing systems and file maintenance, data entry, maintaining certified payrolls, and updating various project and proposal logs.

Wage/Salary Range: $50,000 - $58,000

ESSENTIAL DUTIES & RESPONSIBILITIES

The Essential Duties and Responsibilities are intended to present a descriptive list of the range of duties performed for this position and are not intended to reflect all duties performed within the job. Other duties may be assigned.

  • Assist in the daily administration and support of construction projects and proposal management functions; to include but not limited to organization and coordination of documentation for one or more projects or proposals.
  • Assist the proposal team with RFP documentation organization, tracking wins/loss via log, compiling responses, and ensuring timely responses and submissions.
  • Send and retrieve documents from offsite storage
  • Track all key deliverables, from inception of project, at the start of the RFP process, through award and final task order close out
  • Maintain MS Access database with daily correspondence, to and from the Government, including but not limited to subcontractor documents, modifications, meeting minutes, submittals, schedule changes, etc
  • Assist Proposal Team with project related information for responses to MATOC, IDIQ, JOC and SATOC solicitations
  • Maintain Contractor Performance Assessment Reports (CPARs)
  • Ensure all documentation received is distributed to the responsible individual(s) to include the tracking of vital time sensitive document deliverables
  • Assist with all Request for Proposals (RFPs), any related documents and information
  • Make sure all documents, e-mail, awards, modifications, etc. are filed in a timely manner for future retrieval if necessary
  • Upon proposal completion and award, archive all project documentation
  • Interact with project team members, front end managers, and government employees to resolve issues in a prompt and efficient manner

Required (Minimum Necessary) Qualifications

· 1 year experience in related field

· Highly proficient in all manners of computer-based data entry and tracking.

· College degree

Knowledge, Skills, Abilities, and Other Characteristics

· Knowledge of the construction industry and commonly used construction practices and procedures.

· Computer literacy and proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook) is a must.

· Excellent communication and time-management skills.

· Strong organization skills.

· Strong attention to detail is a must.

· Maintaining good attendance, (punctuality) and actively participating with a positive attitude is essential.

· Strong interpersonal and communication skills with the ability to perform in a fast-paced environment.

· Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records and other office procedures and terminology.

· Knowledge of principles and processes for providing customer and personal services.

· The ability to read and understand information and ideas presented in writing.

· The ability to communicate information and ideas in writing so others will understand.

· The ability to provide information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.

· The ability to perform day-to-day administrative tasks such as maintaining information, files and document processing.

WORK ENVIRONMENT

Work Environment characteristics described here are representative of those that must be borne by an employee to successfully perform the essential functions of this job.

The job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse, and multi-line telephone system. The work described herein is primarily in a modern office setting.

SUPERVISORY RESPONSIBILITIES

· No supervisory responsibilities.

ADDITIONAL QUALIFYING FACTORS

As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results. If applicable to the contract, you must also obtain the appropriate clearance levels required and be able to obtain access to military installations.
