SCHEDULING COORDINATOR

JOB SUMMARY:

The Scheduling Assistant schedules and oversees the schedules of all Direct Support Professionals (DSP) to ensure that the needs of our individuals served are met and maintained. He/she will maintain all DSP contact information. He/she will maintain ADPtime, attendance, and scheduling systems and assist with staffing, payroll, and compliance within MITC. The scheduling coordinatorwill work closely with Payroll and the Director of Human Resources and closely collaborate with Residential Case Managers.

Non-Exempt Position.

DUTIES AND RESPONSIBILITIES:

Works as directed by the Director of Residential.

Ensures that the schedules of all DSP adequately meet the needs of the individuals served.

Maintains ADPdatabase system to include:

Utilization of time and attendance to minimize overtime of all DSP.

Organizes schedules by location (i.e. group home) and employee.

Quickly fills open positions using availability search engine.

Publishes new and changed schedules.

Auto reminds employees of shifts by text or email.

Tracks job banned, trained, restrictions, preferences, requirements for DSPstaff.

Runs payroll reports and utilization reports.

Ensures employee databases stays up to date for new hires and terminations.

Has working knowledge of all work schedules for DSP.

Assists Residential Case Managers to ensure all individuals served and/or agency homes are fully staffed to ensure service delivery.

Maintains a database to collect, update and store all DSP contact information.

Has a working knowledge of Community Service Standards for all providers, NOW/COMP regulations, and the provider manual, HFR and any state and federal regulations pertaining to residential services.

Interacts and communicates effectively with all residential team members.

Works with Staff Development Specialist to ensure all DSP's have met all requirements for employment, trainings, and renewal/refresher trainings.

This is a parttime position at 35 hours/week

QUALIFICATIONS: Required: High school diploma or GED equivalent, (1) year of scheduling experience and at least two (2) years of clerical and office experience. Must have knowledge of calculators, personal computer, electronic financial data systems, fax machine, multiple-line telephone systems and all other business-related machines. Must be proficient inExcel and Microsoft Office. Must be extremely organized and able to produce reports in a timely manner. Must be a team player with the ability to coach, train and hold staff accountable. Must be a self-starter able to solve problems and provide creative suggestions and solutions. Must have excellent customer service skills. Must have excellent communication skills, both verbal and written.
