Customer Service Representative
Position Summary:
Responsible for receiving work requests from our customers, the data entry of these work requests and distribution of requests to FMS staff. Additional responsibilities include departmental administrative tasks.
Provide exemplary customer service to internal and external customers
Work Order Management
- Answer telephones and record messages and customer requests;
- Generate, analyze, prioritize, and distribute work orders to the appropriate personnel;
- Serve as administrator of the work order system;
- Implement policies and procedures for production of work orders and work flow;
- Contact appropriate outside contractors for repair of various systems, such as plumbing, elevators, HVAC;
- Distribute keys to faculty, staff and students.
Administrative Duties
- Filing, ordering supplies and equipment and other clerical services;
- Compose and type various letters, memos, and other correspondence to faculty, staff, vendors;
- Make room reservations for meetings; make arrangements for food service as needed;
- In collaboration with Supervisors, prepare bi-weekly employee time record for submittal to Payroll Office which includes computation of hours worked, vacation and sick leave hours;
- Monitor and maintain employee time records.
Required Qualifications:
High School diploma and five years of job-related experience are required. Must have a basic understanding of facility operations and maintenance.
The employee must possess excellent interpersonal skills, telephone techniques and etiquette, record keeping techniques, organizational, and customer service skills. This position requires the ability to prioritize effectively and to interact in a diverse community. Incumbent must be detail oriented, possess the ability to handle multiple tasks, and the ability to adapt to changing situations.Must have the ability to work with minimal supervision.
Excellent oral and written communication skills are essential including the ability to read and interpret documents such as operating and maintenance instructions and procedure manuals. Must have good proofreading skills and be detail oriented. Ability to write correspondence such as letters and internal email communications. The work also requires the ability to speak effectively when interacting with the public and the entire Spelman community.
To perform this job successfully, an individual must have intermediate skills using the Microsoft Office Suite (Word, Excel, and PowerPoint). Incumbent should be able to create such things as general correspondence, flyers, reports, spreadsheets that include formulas, and presentations. Ability to utilize e-mail systems such as Outlook is necessary in the performance of the duties of this position. Ability to learn software utilized for work order management and payroll reporting.
Must be able to pass a pre-employment drug test.
A Bachelor’s degree is preferred.
A basic familiarity with industrial cleaning supplies, chemicals, and equipment is preferred.
Current valid Georgia Driver’s License preferred.
Physical Demands:While performing the duties of this job, the employee is regularly required to: sit, use hands to handle cleaning supplies, operate computer and other office equipment, talk, and hear. The employee is frequently required to: reach with hands and arms. The employee is occasionally required to: stand, walk, stoop, kneel, smell, and lift and/or move up to 25 pounds.
