Legal Support Specialist – Multiple Roles Available
Complete Legal seeks versatile and detail-oriented Legal Support Specialists to join our dynamic team. We are a premier provider of comprehensive litigation support services. These roles encompass a range of responsibilities, including court reporting coordination, record retrieval, and other essential legal support functions.
Key Responsibilities:
Court Reporting Coordination:
- Schedule and coordinate court reporting services for depositions, hearings, and other legal proceedings.
- Manage court reporters' schedules to ensure comprehensive coverage for all assigned cases.
- Act as the primary point of contact for attorneys, paralegals, and court reporters regarding scheduling, logistics, and service inquiries.
- Maintain detailed records of all assignments, including client information, case specifics, and billing details.
- Handle client inquiries and resolve issues related to court reporting services with professionalism and efficiency.
- Assist in recruiting, training, and onboarding freelance court reporters.
- Monitor the quality of service provided by court reporters and offer constructive feedback as necessary.
- Manage logistics for remote depositions, including the setup of video conferencing tools and ensuring technical compliance.
Record Retrieval Duties:
- Retrieve and organize legal documents, court records, and other relevant materials from various sources, including courts, government agencies, and private entities.
- Ensure the accuracy and completeness of retrieved records, verifying information against case requirements.
- Maintain a systematic filing system for all retrieved documents, ensuring easy access and confidentiality.
- Coordinate with external vendors and agencies to expedite record retrieval processes.
- Additional Legal Support Functions:
- Provide general administrative support to the legal team, including drafting correspondence, preparing reports, and managing case files.
- Support attorneys and paralegals in trial preparation, including organizing exhibits and managing evidence.
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Contribute to team efforts in improving operational efficiency and client satisfaction.
Qualifications:
- Experience: Minimum of 2 years in a similar role within the legal field, focusing on court reporting coordination, record retrieval, or legal support services.
- Education: A bachelor’s degree or equivalent experience in a related field is preferred.
Skills:
- Exceptional organizational and time-management skills to handle multiple tasks efficiently.
- Proficient in Microsoft Office Suite; familiarity with Solaria scheduling software and other legal databases
- Strong communication skills, both verbal and written, to interact effectively with clients and team members.
- Ability to manage sensitive and confidential information with discretion and integrity.
- Excellent customer service orientation with a detail-oriented approach to all tasks.
