Payroll Specialist Key Responsibilities:

  • Process payroll for a distributed field-based workforce, ensuring accuracy and timeliness.
  • Collect and review employee time and attendance records, verifying hours worked and addressing any discrepancies.
  • Calculate wages, deductions, and adjustments, such as overtime, commissions, bonuses, and benefits.
  • Maintain accurate and up-to-date payroll records, including employee information, tax withholdings, and benefit deductions.
  • Prepare and distribute payroll reports, pay stubs, and tax forms to employees.
  • Ensure compliance with federal, state, and local payroll regulations, including tax withholding and reporting.
  • Reconcile payroll data, investigating and resolving any discrepancies in a timely manner.
  • Stay informed about changes in payroll laws and regulations, keeping our processes up-to-date and compliant.
  • Assist with payroll audits, providing necessary documentation and reports.
  • Respond promptly and professionally to employee inquiries regarding payroll matters.
  • Collaborate with the field management and HR department to ensure seamless data flow and accuracy of employee information.
  • Contribute to the continuous improvement of payroll processes and systems, identifying opportunities for increased efficiency and accuracy.
  • Safeguard the confidentiality of payroll information and maintain data security protocols.

Payroll Specialist Qualifications:

  • Proven experience as a Payroll Specialist or in a similar role, preferably within a fast-paced environment.
  • Solid understanding of payroll principles, regulations, and best practices.
  • Proficiency in payroll software and familiarity with HRIS systems.
  • Strong numerical and analytical skills, with a keen eye for detail.
  • Excellent organizational and time management abilities, able to prioritize tasks and meet deadlines.
  • Exceptional communication and interpersonal skills, with the ability to build rapport with employees and stakeholders.
  • Ability to maintain strict confidentiality and handle sensitive information.
  • Strong problem-solving skills, with the ability to investigate and resolve payroll discrepancies.
  • Knowledge of benefits administration and payroll tax regulations is a plus.
  • Certification in Payroll (e.g., CPP) or related field is advantageous.
