**Job Summary:**
The Winery Event Manager is responsible for sales, planning, organizing, and executing all events at the winery. This role includes overseeing all aspects of event coordination, sales and initial planning to execution, ensuring a memorable and seamless experience for all guests. The ideal candidate will have a passion for wine, exceptional organizational skills, and a knack for customer service.
**Key Responsibilities:**
1. **Event Planning and Coordination:**
- Plan and coordinate all winery events, including private tastings, weddings, corporate events, and public festivals.
- Develop event concepts, themes, and timelines in collaboration with clients and winery staff.
- Coordinate with vendors, suppliers, and contractors for event needs (catering, décor, entertainment, etc.).
- Oversee event setup, execution, and breakdown, ensuring all details are managed and addressed.
2. **Client Relations:**
- Serve as the primary point of contact for all event clients, providing exceptional customer service and ensuring all client needs and expectations are met.
- Conduct site tours and meetings with potential clients to showcase the winery’s event capabilities and facilities.
- Prepare and present event proposals and contracts to clients.
3. **Budget Management:**
- Develop and manage event budgets, ensuring all expenses are tracked and within the allocated budget.
- Negotiate contracts with vendors to secure the best prices and services.
4. **Marketing and Promotion:**
- Collaborate with the marketing team to promote events through various channels, including social media, email campaigns, and traditional advertising.
- Create promotional materials and event signage.
5. **Team Leadership:**
- Supervise and coordinate the activities of event staff and volunteers.
- Train and mentor staff on event procedures and customer service standards.
- Ensure all team members understand their roles and responsibilities for each event.
6. **Administrative Duties:**
- Maintain detailed records of event logistics, client interactions, and financial transactions.
- Provide regular reports on event performance and feedback to management.
**Qualifications:**
- Bachelor’s degree in Hospitality Management, Event Planning, Business Administration, or a related field.
- Minimum of 3-5 years of experience in event sales, planning and coordination, preferably in the hospitality or wine industry.
- Strong organizational and multitasking skills with the ability to manage multiple events simultaneously.
- Excellent communication and interpersonal skills.
- Proficiency in event management software and Microsoft Office Suite.
- Knowledge of wine and the wine industry is a plus.
- Flexibility to work evenings, weekends, and holidays as required by event schedules.
**Physical Requirements:**
- Ability to stand and walk for extended periods.
- Ability to lift and carry up to 25 pounds.
- Comfortable working in both indoor and outdoor environments.
