h2About the Department/h2pThe purpose of this classification is to perform responsible and independent administrative and technical direction for work in support of the planning, organizing and implementing for the Real Estate and Special Projects Department. Areas of assignment include, but are not necessarily limited to, construction, operation, and maintenance, project coordination, data analysis, information preparation, special projects coordination and communication, schedule management, records management, and other related functions./ph2Position Duties/h2pstrongThe following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned./strongbr / br /Coordinates assigned projects with Supervisors of various disciplines. Selects and manages engineers, contractors and suppliers.br / br /Plans, designs, and reviews plans; oversees accounting functions for new construction, rehabilitation of existing infrastructure and maintenance.br / br /Performs contract administration, purchasing; prepares agendas, memorandums and budgets.br / br /Plans, coordinates and oversees contractors and capital improvement projects. Issues periodic updates to the public on assigned projects.br / br /Plans and schedules maintenance and inspections. Assists in developing asset tracking methods and procedures.br / br /Prepares and monitors contractual services and vendors.br / br /Participates in special projects and meetings.br / br /Maintains detailed records, data, and history on projects, programs and City facilities.br / br /Selects materials and equipment; prepares purchase orders; determines long-term equipment replacement.br / br /Coordinates, implements and oversees various special projects.br /  br / Conducts and reviews special studies in conjunction with a project, and analyzes data and makes recommendations based upon studies.br /  br /  br / Establishes and maintains department databases, automated files, lists, and computer records; enters and updates data in databases, to include confidential information; researches and retrieves data from information systems; queries records and reports; and generates reports, lists and other documents from databasesbr /   br / Prepares folders; maintains files of department correspondence, program records, legal documents, and other documents; photocopies and files documents; distributes materials via email, mail, facsimile and other methods of transport; and requests information from other departments and/or parties as necessary to complete department records/files. Shreds obsolete confidential documents.br /  br / Promptly scans documents into records management system, ensuring proper template is used and verifying accurate file maintenance.br /  br / Prepares and responds to Departmental Public Records Requests, including preparation and necessary redaction of information and files as needed.br /  br / Prepares or completes various forms, reports, correspondence, employment contracts, salary surveys, bid proposals, performance appraisals, organizational reports, monthly reports, budgets, goals/objectives, or other documents as directed.br /  br / Operates a computer to enter, retrieve, review or modify data; verifies accuracy of entered data and makes corrections and adjustments; utilizes, in a highly effective and efficient way, word processing, spreadsheet, database, records management, e-mail, and other germane software programs.br /  br / Establishes and maintains effective working relationships with City employees, elected officials, the press, the general public, industry professionals, and other government agencies.br /  br / Performs moderately complex work under limited supervision and maintains professional discretion in processing matters of a sensitive or confidential nature from both a legal and ethical perspective.br /br /strongADDITIONAL FUNCTIONS/strongbr / br /Performs other related duties as required.br / /ph2Minimum Qualifications/h2pulliCollege student or college graduate /liliPossess [or able to obtain within fourteen (14) days of hire] and maintain a valid Florida driver’s license./li/ul/ph2Other Qualifications/h2pp id="isPasted"strongPhysical and Sensory Requirements / Environmental Factors/strong/ppstronguPhysical Ability/u/strong:nbsp;Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds).
