About the Billing Specialist Role
The Billing Specialist plays a key role on the finance team by ensuring timely and accurate billing for HVACR service and project work. This position is ideal for someone detail-oriented, thrives in a fast-paced, service-based environment, and enjoys working cross-functionally with operations, project managers, and accounting.

Key Responsibilities of the Billing Specialist:

• Generate and issue accurate invoices for service work orders, maintenance contracts, and special projects

• Review completed work orders and ensure labor, materials, and subcontractor costs are properly captured

• Coordinate with technicians, project managers, and service coordinators to verify job completion details and billing requirements

• Monitor open work orders and aging reports to ensure timely billing

• Assist with resolving client billing questions or discrepancies in a professional and timely manner

• Maintain and update customer records and billing preferences in the system

• Collaborate with the collections team on past due accounts as needed

• Support monthly revenue reporting and audit preparation

Preferred Qualifications for the Billing Specialist:

• 2+ years of billing or invoicing experience, ideally in a service or construction-based industry

• Proficiency with Excel, including VLOOKUPs

• Experience with Sampro (AS400 platform) is highly preferred

• Strong organizational skills and attention to detail

• Ability to work efficiently in a high-volume, deadline-driven environment

• Familiarity with service billing, contract billing, or project billing is a plus
