POSITION TITLE
Administrative Assistant—Elementary School
QUALIFICATIONS
- Two years of business college or technical school required.
- Valid Arizona State Fingerprint Clearance Card required.
- Three years of successful secretarial experience required.
- Filing, typing, word processing, and bookkeeping experience required.
- Possesses high level secretarial skills and commitment to expanding technology and data processing such maintaining records for professional school responsibilities.
- Must have experience with Macintosh and Windows Computer operations for automated printing processes, graphics, and spreadsheet.
- May speak some Navajo language but not mandatory.

JOB GOALS
To assist and relieve principal of paper work and assure the smooth and efficient operation of the office, so that the building principal may devote maximum attention to the educational administration of the school.
PERFORMANCE RESPONSIBILITIES
- Performs the daily office routines.
- Obtains, gathers, and organizes pertinent data as needed into usable form.
- Maintains a regular filing system.
- Maintains a schedule of appointments and makes arrangements for conferences and meetings with principal.
- Places and receives telephone and radio calls and records messages.
- Displays a cooperative and cordial attitude to visitors, teachers, students, and staff.
- Orders and maintains supplies as needed for office.
- Maintains daily employee attendance log and makes substitute teacher arrangements.
- Welcomes visitors and screens unexpected callers and walk-in parent requests; maintains visitors' log.
- Types correspondence, reports, and other school information as designated by supervisor; develops and distributes notices and bulletins and other school related information.
- Processes and distributes incoming correspondence to the students, staff, and supervisor, and records all receiving packages from the warehouse.
- Assists the school registrar with student registration, daily absence, and attendance for students.
- Assists in keeping District policy and position description manuals up to date.
- Receives and maintains all requisitions and purchase order items.
- Performs any bookkeeping tasks associated with the Intermediate School budget.
- Monitors all purchase requisitions to determine accuracy of budget information, pricing, and coding information.
- Operates and maintains office equipments, such as computers, copiers, fax machine and printers.
- Keeps an accurate record of building equipment and inventories.
- Performs other duties as assigned by supervisor.
TERMS OF EMPLOYMENT
Ninety (90) days probationary period of employment when initially hired. Eleven (11) months 226 days a year thereafter at Grade 6 on the Initial Placement Support Staff Salary Schedule. This position is non-exempt. The Governing Board will establish salary and work year.

The performance of this job will be evaluated in accordance with the provisions of the Board’s policy on the Evaluation of Support Services Personnel.
