Job Summary
The Event Coordinator will be responsible for planning, organizing and executing community health screenings and events to promote wellness and access to health care services. Job Description
Essential Functions:
Event Planning and Coordination
- Plan and manage all aspects of community health screenings and events, including, but not limited to, scheduling, staffing, budgeting and logistics.
- Collaborate with internal departments (e.g., marketing, clinical teams) to ensure successful event delivery.
- Coordinate event venues, permits, equipment and supplies needed for screenings and activities.
- Develop and maintain a detailed timeline and checklist for each event to ensure smooth execution.
Community Outreach and Relationship Management
- Build and maintain relationships with community partners, sponsors and stakeholders to enhance event participation.
- Act as the primary point of contact for community organizations and partners involved in events.
- Promote events through appropriate channels in collaboration with Strategic Marketing and Communications.
- Attend sponsorship committee meetings and vet potential sponsorships along with calculated impact.
- Execute sponsorship strategy alongside Community Relations Specialist.
- Manage approved sponsorships to ensure that we achieve the maximum benefit. Track and report on the impact of our sponsorship and community involvement efforts.
Operational Support
- Recruit, train and schedule volunteers and staff for event support.
- Ensure compliance with health and safety regulations during events.
- Oversee setup, operations and breakdown of events, ensuring a seamless experience for participants and staff.
- Support Community Relations budgeting process by maintaining check payment requests through Accounts Payable.
Reporting and Evaluation
- Collect and analyze data from community health screenings, including participant feedback and outcomes.
- Prepare post-event reports and provide recommendations for improvements.
- Monitor budget performance and ensure events are executed within financial parameters.
Additional Requirements
Required:
Education - Bachelor’s degree in Event Management, Communications, or a related field (or equivalent experience)
Preferred:
Work Experience - 1+ years Event Planning, Community Engagement, or a related role preferably in health care or nonprofit settings.
Physical Requirements:Medium work - Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
