Description/Role

 

Scope of Work: 

Contractor will provide support for the Office of Broadband Programs (OBP), Department of Technology & Enterprise Business Solutions (TEBS). Deliverables include: 

 

General Office Administration 

1. Greet Visitors 

2. Maintain OBP and Digital Equity phone lines 

3. Schedule meetings for OBP staff 

4. Oversee five conference room calendars 

5. Handle Incoming/Outgoing mail/deliveries 

6. OBP supply organization 

 

Project Coordination 

7. Digital Equity (DE) Projects 

a. Scheduling and tracking installs for all DE projects 

b. Coordinating Site Visits 

c. Coordinating staff/resident interactions 

8. FiberNet Daily & Projects 

a. Scheduling & Coordinating Site Visits for Fiber/Data Installs 

b. Tracking/Monitoring of FiberNet projects 

 

Database Management 

9. Create/Update Monday.com databases 3 of 4 

 

Fiscal Responsibilities 

10. Procurement- Processing, requesting quotes, writing memos 

11. Proficiency in Accounts Payable (AP) and Procurement modules of EBS 

12. Maintain and update tracking for all payments, tracks expenditures by division (Excel skills) 

13. Receive invoices and get approvals from Department Heads 

14. Identify correct purchase orders, cost codes and pertinent accounting data 

15. Scan documentation to Finance as needed

 

Skills/Experience Required

 

Contractor must have: 

  • Advanced skillset of Office 365 programs (Word, Excel, PowerPoint, Outlook), SharePoint, Windows 10 Enterprise applications. 
  • Database Management: Database Maintenance, Problem Solving, Promoting Process Improvement, Attention to Detail & Quality Focus 
  • Excellent working knowledge of the Oracle EBS environment as it relates to AP and Procurement modules. 
  • Administrative Assistant Experience 
  • Excellent Organizational Skills 
  • Excellent verbal and written communication and customer service skills
