About the Company and Administrative Assistant Opportunity:

  • CFS is working with a top client, a non profit organization, who is seeking a full time contractual Administrative Assistant
    • For the right candidate, this position will become permanent
  • Company is small and boasts tight knit team that is very friendly
  • Schedule: 8:30am-4:30pm M-F in Annapolis, MD. 7.5 hour work day (37.5 hour work week).
    • Position is 100% in office to start. Potential for hybrid after 6+ months
    • Free parking provided
  • Reports to the Executive Director
  • Position is paid hourly (equivalent of 50-55K)
  • Ideal start date: Mid November 2025
Job Duties of the Administrative Assistant:
  • Provides administrative support to the Director, including preparing reports, managing calendars, and supporting committee work.
  • Prepares, types, files, and distributes letters, reports, and other standard correspondence.
  • Supports logistics for internal meetings, leadership gatherings, conferences, committees, trainings, and various organizational events.
  • Gathers, copies, and distributes materials for events such as conferences, leadership meetings, committees, representative assemblies, and trainings.
  • Assists with event registration processes as needed.
  • Helps coordinate all logistics (lodging, meals, materials, registration, etc.) for monthly board meetings, annual retreats, and joint staff meetings.
  • Assists with arranging travel for officers and members when needed; prepares bimonthly expense reports for leadership.
  • Prepares monthly credit card reports and manages receipt documentation for executive leadership.
  • Assists with the preparation of diversity and inclusion reporting.
  • Coordinates onboarding orientation.
  • Collects and formats manager reports, proofreading them prior for distribution.
  • Maintains up-to-date lists of local officers and committees.
  • Records and summarizes meeting minutes.
  • Organizes and maintains electronic filing systems.
  • Performs additional duties as assigned.

Qualifications for the Administrative Assistant:

  • 2+ years' relatable work experience required
  • Microsoft Office Suite experience (Excel, Word, Power Point, Access)
  • Ability to draft correspondence, prepare reports independently, and maintain confidentiality
  • Strong written and verbal communication skills
  • Patient, tolerant, and positive attitude!
